The On Call Office Support Specialist II role at LifeWorks NW plays a crucial part in supporting the organization's commitment to quality care and client services. This position, based at the Hillsboro Walnut site, operates in a fast-paced clinical front office environment, providing essential administrative support to clinical staff working with mental health and addiction clients of all ages. The specialists in this role handle a variety of responsibilities ranging from reception and client interaction to administrative tasks such as insurance verifications and appointment scheduling. This position requires a blend of interpersonal skills, technical competence, and the ability to manage complex administrative functions with efficiency. The office environment varies, including outpatient clinics and residential sites, requiring flexibility and adaptability from the person in this role.
Compensation for the On Call Office Support Specialist II ranges from $23.62 to $30.57 per hour, with an additional $2.00 per hour differential for bilingual Spanish proficiency, reflecting the organization's value for linguistic diversity and cultural responsiveness. The salary placement considers experience and qualifications, with final offers aligning with internal compensation processes consistent with Oregon Pay Equity laws.
This role is critical in creating a welcoming and organized experience for clients and staff alike. Responsibilities include but are not limited to frontline reception duties such as answering multi-line phone systems, greeting visitors, managing inquiries, and facilitating client flow through various administrative processes. The specialist also performs vital administrative tasks including maintaining proprietary software records, managing paperwork, verifying insurance, balancing payment agreements, and processing payments. Additionally, they provide support through data entry, scheduling appointments, managing office supplies and courier logistics, and sometimes act as a backup to other administrative positions.
Candidates for this position should be prepared to work in a culturally diverse environment, demonstrating effective communication skills and a cooperative working style. Experience in mental health settings is highly preferred, underscoring the specialized nature of LifeWorks NW’s services providers. Flexibility regarding work hours, including some evenings and weekends, may be required. - High school diploma/GED or equivalent
- previous experience/formal education preferably in a clinical setting
- prior experience working as a receptionist preferably in a mental health setting
- ability to perform essential functions of job without creating a direct threat to the safety of self or others
- good computer skills including a functional knowledge of Outlook, Word and Excel, 10-key, telephone skills and electronic record systems
- ability to master proprietary software which may include on-line scheduling and billing
- must be able to keyboard 45 wpm
- knowledge and previous experience with office equipment including photocopying, faxing and scanning etc
- demonstrates effective communication skills and maintains a cooperative working relationship with others in a culturally diverse environment

Job Duties
- Performs reception duties, answering phones (on multi-line phone system)
- greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
- act as a resource to staff and clients
- responsible for insurance verifications, set client fees, balance payment agreements and administrative intakes
- update and maintain records in proprietary software
- manage office paperwork and flow
- serve as back-up for other administrative positions as needed
- does data entry, references information on the computer, schedules, runs basic reports as needed
- scanning, copying and faxing as needed
- receive payments and record receipts for services
- hear and process complaints from customers and public
- schedule appointments, and maintain and update appointment calendars
- provide information about establishment such as location of departments or offices, employees within the organization, or services provided
- unload and sort courier items and/or office supplies as needed
- may travel between sites or in the community
