Opensity is currently seeking a highly motivated and professional Office Services Associate. This role serves as a pivotal point of contact for both internal team members and external guests, offering a warm and welcoming office experience that reflects the company's core values and commitment to service excellence. The Office Services Associate will work closely with the Client Service Manager to ensure the day-to-day operations of the office run smoothly, efficiently, and with a high standard of quality. This position requires an individual with outstanding communication skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment.
The role is highly visible within the office, embodying the company’s client-first approach through everyday interactions and operational management. Responsibilities include managing office and facilities operations alongside regional management, coordinating visitor and vendor access, handling meeting room and workspace reservations, supporting meetings and catering logistics, and overseeing office security protocols such as issuing access badges. Additionally, this role involves maintaining common areas, managing mail and package deliveries, supporting event planning, and ensuring overall office readiness.
Candidates must possess 1-2 years of relevant experience in office services, hospitality, or workplace operations, along with strong organizational, communication, and relationship management skills. Familiarity with Microsoft Office and other workplace systems is essential. The position offers a competitive compensation range of 20.00 to 24.00 USD per hour, with potential eligibility for an annual bonus based on individual performance and qualifications.

Job Duties
- Manage office and facilities operations in partnership with the regional office manager and office manager
- Coordinate with building management, security, engineering, and vendors
- Submit maintenance requests and support overall workplace operations
- Coordinate visitor access with building security
- Greet and direct visitors, notifying appropriate contacts
- Monitor building access points as needed
- Validate and track approved visitor parking
- Manage conference room and workspace reservations using internal systems
- Support scheduling needs and resolve conflicts
- Coordinate external building conference room bookings when required
- Place and track all catering orders in line with firm guidelines
- Coordinate, confirm, and support catering setup and teardown
- Prepare meeting rooms and ensure alignment with meeting organizers
- Issue, track, and manage employee and visitor access badges
- Coordinate with building security for onboarding, offboarding, and access audits
- Respond promptly to employee requests
- Process mail, packages, courier requests, and certified mail
- Order business cards and life event items per guidelines
- Support event planning and office initiatives
- Maintain conference rooms and shared spaces throughout the day
- Ensure cleanliness and readiness of all common areas and conference rooms
- Replenish supplies and report issues as needed
