Job Requirements

  • High school diploma or equivalent
  • One year relevant experience
  • Proficiency in Microsoft Office products
  • Ability to maintain confidentiality
  • Strong communication skills
  • Ability to multitask and manage interruptions
  • Knowledge of HIPAA compliance
  • Physical ability to sit, stand, lift up to 15 pounds, and perform fine motor tasks
  • Visual acuity and manual dexterity
  • Willingness to seek supervision and accept feedback

Job Qualifications

  • High school diploma or equivalent
  • One year experience in hospital or office front desk/reception duties
  • Proficient in Microsoft Office Outlook, Word, Excel
  • Ability to concentrate and maintain accuracy amid interruptions
  • Knowledge of AltaPointe’s continuum of care within three months
  • Familiarity with guardian ad litem process within three months
  • Experience with ShoreTel phone system within three months
  • Ability to work independently with minimal supervision
  • Good judgment and discretion in carrying out work tasks

Job Duties

  • Greet all visitors entering the lobby
  • Obtain visitor information and connect them with appropriate staff
  • Advise employees of visitor arrivals
  • Ensure visitors sign in maintaining HIPAA compliance
  • Handle incoming and outgoing phone calls
  • Maintain neat and organized lobby and intake rooms
  • Issue and manage key fobs for employees and vendors
  • Assist with long-distance calls
  • Maintain staff whereabouts and activity calendars
  • Record caseloads and report to HR
  • Notify security and staff of emergencies
  • Manage office supplies and prepare orders
  • Provide courteous service to visitors and callers
  • Operate paging system with discretion
  • Adhere to 5-Star Customer Service guidelines
  • Organize visitation calendars and employee meal sign-ups
  • Enter maintenance and IT requests
  • Distribute mail and manage lost-and-found system
  • Serve as backup for West Mobile Academy office professional
  • Seek supervision and consultation as needed
  • Participate in performance improvement activities
  • Follow AltaPointe policies and procedures
  • Complete assigned tasks timely
