Job Requirements

  • Bachelor's degree required
  • 2+ years experience running or maintaining an office
  • 2-3 years accounting experience preferred
  • excellent verbal and written communication skills
  • team player with positive attitude and ability to interact with staff and business contacts
  • strong problem-solving skills
  • detail oriented
  • ability to work under pressure, meet deadlines, prioritize, handle multiple projects
  • must be MAC literate
  • must be proficient in MS Office and Excel
  • easy adaptability to new technologies
  • valid driver's license
  • access to reliable transportation

Job Duties

  • Assist with all administrative duties to the management team
  • welcome all agency guests by greeting them in person or over the phone
  • maintain office upkeep, appearance, and organization of common areas, kitchen, reception area and conference rooms
  • manage facilities day-to-day operations such as access keys, facilities management, workspace set-up
  • work with facilities management or outside contractors to ensure a great work environment including security, housekeeping, general repairs, emergency communication, recycling, heat and water problems
  • manage renovations and repairs including painting, electrical, construction, new furniture
  • manage office equipment maintenance, repairs, and supplies
  • facilitate new hire onboarding in conjunction with management team
  • plan and execute company functions, employee birthdays, anniversaries by sourcing materials, sending invites, and coordinating gifts
  • manage client gift lists and execute approved gifts
  • provide filing, mailing, shipping, inventory management, and clerical support
  • coordinate client needs such as reserving conference rooms and placing catering orders
  • handle interagency communications of meetings, events, IT and facilities issues
  • coordinate travel, hotel accommodations, and pick-ups for clients and staff
  • support management with errands, personal shopping, groceries, shipments, travel bookings, and calendar management
  • maintain vendor relationships
  • perform file management
  • assist with special projects
  • manage accounts payable
  • manage accounts receivable
  • perform credit card reconciliations
  • assist in monthly close process
