The MSCC (Member and Staff Community Center) is dedicated to fostering a welcoming and efficient environment for its members, guests, and community partners. As a vital hub within the community, the MSCC provides diverse programs and services aimed at enhancing the quality of life for individuals and families it serves. The MSCC Office Manager position is an essential role responsible for overseeing the daily administrative operations of the MSCC office. This role requires a proactive and organized individual who manages front desk functions, coordinates all MSCC facility rentals, and handles communication with members, parents, and community partners. The Office Manager ensures the smooth workflow of office operations by maintaining organized systems for office supplies, managing incoming and outgoing correspondence, and enforcing office policies and procedures. Additionally, this position plays a critical role in supporting financial tracking related to facility rentals by preparing rental agreements, invoicing, collecting payments, and keeping accurate records of rental activities.
Beyond administrative tasks, the Office Manager serves as the primary contact for rental clients before, during, and after their events, ensuring rental policies are adhered to and facilitating smooth communication between departments and stakeholders. This role demands excellent organizational skills, strong communication abilities, and a customer-service focus to handle multiple priorities effectively and maintain a welcoming, professional atmosphere. The position also requires the capability to adapt to a dynamic environment, manage high volumes of calls, and maintain composure and professionalism when addressing customer concerns.
Employment for this position is full-time, operating Monday through Friday from 9am to 5pm, providing a consistent schedule with a supportive work environment focused on collaboration and community impact. Job Requirements
- Ability to pass criminal background screening
- Valid driver's license with personal auto insurance policy with a minimum of liability insurance
- Ability to actively supervise and participate in recreational, athletic, and educational activities, both indoors and outdoors
- Ability to stand, walk, run, and engage in physical play for extended periods
- Ability to respond quickly and appropriately in emergencies
- Ability to maintain energy and alertness throughout extended shifts
- Ability to work in various environments including gymnasiums, playgrounds, classrooms, and outdoor fields
- Ability to lift and carry supplies or equipment weighing up to 75 pounds
- Ability to perform basic physical tasks such as bending, kneeling, reaching, and climbing stairs

Job Qualifications
- High school diploma or equivalent required
- Associate's or Bachelor's degree in Business Administration or related field preferred
- 2-3 years of experience in office administration, office management, or customer service
- Experience coordinating facility rentals, events, or scheduling systems preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with scheduling, CRM, or financial software preferred
- Strong organizational and time management skills
- Excellent verbal and written communication skills with a customer-service focus
- Ability to manage multiple priorities and maintain attention to detail
- Ability to remain calm and professional when handling customer concerns or high call volumes
Job Duties
- Oversee daily office operations, ensuring efficient workflow and professional customer service
- Answer and direct incoming phone calls and emails, responding to inquiries from members, parents, and community partners
- Maintain office organization, supplies, and general administrative systems
- Manage incoming and outgoing mail and general office correspondence
- Ensure office policies and procedures are followed
- Manage all MSCC facility rentals from inquiry through completion
- Coordinate scheduling of rental spaces, ensuring availability and proper documentation
- Prepare rental agreements, invoices, and collect payments
- Maintain rental calendar and communicate schedules with staff and leadership
- Serve as the primary point of contact for rental clients before, during, and after events
- Ensure rental policies and procedures are followed by clients and staff
- Maintain accurate records of rental activity and prepare reports as needed
- Coordinate communication between departments regarding facility use and scheduling
- Serve as a positive and professional representative of the organization
- Perform other duties as assigned
