We are currently seeking a full-time Office Manager (OM) to join our dynamic team and take a lead role in managing our front office operations. This position offers an hourly wage ranging from $17.00 to $22.00 per hour, reflecting the importance we place on this role within our clinic.

The Office Manager is a key leadership position responsible for overseeing a highly trained, professional front office team. The OM ensures that patient interactions are handled with care and professionalism, answering questions and addressing concerns efficiently and sensitively to leave patients with a positive impression of our clinic. The role demands a focus on maximizing the collection of payments while maintaining excellent communication and operational standards. The Office Manager will train, supervise, and schedule front office specialists, ensuring that the daily administrative functions run smoothly and that the office environment is welcoming and organized.

In addition to personnel management, the OM is responsible for maintaining office supplies, preparing payroll documentation, handling internal and external communications, and completing statistical reports and bank deposits accurately and timely. This multifaceted role is essential to the smooth operation of the front office and overall patient experience. The ideal candidate will possess outstanding organizational skills, effective communication abilities, and the capacity to remain calm and goal-oriented under pressure. Job Duties

  • Orientate and train the Front Office Specialists
  • schedule, supervise, and direct the work of the front office staff
  • assign cleaning duties and monitor the cleanliness of the lobby and front desk area
  • prepare and route internal clinic communications to designated staff
  • prepare external communications to physician offices on behalf of the Clinical Director
  • complete the weekly statistical analysis spreadsheet as well as the forms and reports for the Clinical Director
  • maintain the office supply inventory and make purchases as necessary
  • prepare and submit the documents required for payroll
  • complete the end of day bank deposits and required communications
