The position at Webster Five is centered on managing the day-to-day administration of the bank's Headquarters (HQ). This role is pivotal in ensuring that the headquarters operates smoothly, providing a professional, efficient, and engaging workplace experience for all employees, visitors, and stakeholders. The administrative professional in this role will be responsible for greeting visitors, coordinating mail and delivery services, ordering supplies, maintaining conference rooms, and managing the Collaborative Cafe. Additionally, the role involves organizing and supporting an array of functions, including board and executive meetings, employee events, and various workplace initiatives.

As the first point of contact at the HQ, this role demands excellent interpersonal skills, a welcoming demeanor, and the ability to create a positive impression for every guest entering the premises. The position requires coordinating with various teams to ensure all meeting technologies are functional and that catering and room setups are managed effectively. Beyond these responsibilities, the role extends to active participation in employee committees and working groups, fostering internal communications and enhancing employee engagement through digital platforms and other initiatives.

This position operates independently under the guidance of the People Experience Manager and emphasizes the importance of organizational skills, critical thinking, and technology proficiency. Candidates must be adept at managing multiple priorities, exhibit sound judgment and discretion, and be willing to adapt to a dynamic work environment with occasional interruptions and a flexible schedule.

Work is primarily performed on-site at Webster Five's headquarters, reflecting the organization’s commitment to maintaining a vibrant and accessible work environment. Ideal candidates will bring at least two years of related experience and hold an Associate's Degree or have equivalent years of practical experience. Job Duties

  • Manage the day-to-day administration of Webster Five’s HQ including visitor reception area, conference rooms, the Boardroom Suite and Collaborative Cafe
  • Serve as the first point of contact for visitors by greeting guests, coordinating visitor access and supporting meetings
  • Administer mail, shipping and delivery services
  • Maintain HQ supply inventory including ordering, stocking and ensuring availability of resources
  • Support HQ, Board and Executive Committee meetings by maintaining conference rooms, coordinating catering and room set-up, and ensuring meeting technology is functional
  • Organize and support HQ functions, employee events and workplace initiatives
  • Serve on employee committees and Collaboration Working Group by contributing to internal communications, recording minutes and event planning
