It encompasses multiple specialized centers, such as the Institute of American Civics, the Center for Energy, Transportation and Environmental Policy, the Center for National Security and Foreign Affairs, and the Tennessee Center for Local Governments.
This position focuses on delivering exemplary front-line customer service, administrative assistance, and office management support to the Baker School and its auxiliaries. Acting as the first point of contact, the role demands exceptional communication skills and an ability to coordinate and direct diverse inquiries in a professional and efficient manner. Given the variety of events, classes, and programs taking place within the Baker facility, this role is pivotal in understanding the unique needs and purposes of each activity, ensuring seamless coordination and satisfaction for visitors, faculty, staff, and students alike. The successful candidate will often serve as a problem-solver and troubleshooter, requiring keen judgment, discretion, and the ability to develop effective action plans based on situational information.
Moreover, the position encompasses broad responsibilities including receptionist duties, logistical coordination for multiple types of events such as seminars and faculty searches, and everyday operational support related to the School's business office. It requires attention to detail in updating school-wide processes and facilities management. The role also supports large-scale communication channels, maintains office supplies, supervises student employees, and liaises with facilities to resolve issues promptly. This position is based onsite in Knoxville, Tennessee, which offers an engaging environment to contribute to higher education excellence and public service.

- ability to troubleshoot basic technical and AV issues preferred
- knowledge of higher education or complex organizational environments preferred

Job Duties
- Serve as first point of contact
- assess needs and determine response or escalation
- Manage main phone line and shared inboxes
- triage and route inquiries
- Coordinate mail and package distribution
- Maintain directories, distribution lists, and procedural manuals
- Draft correspondence for school and center leadership
- Monitor office supplies and coordinate ordering and vendors
- Maintain shared office spaces including reception, supply areas, and workrooms
- Supervise student employees including training and task coordination
- Maintain equipment inventory and checkout processes
- Provide administrative support to center leadership and backup executive support
- Prioritize workload and implement process improvements within scope
- Coordinate room reservations and resolve scheduling conflicts
- Serve as point of contact for facilities, vendors, and space readiness
- Liaise with facilities, IT, and custodial services to resolve issues
- Provide basic technical and AV support
- escalate as needed
- Support building operations including access, surplus, and deliveries
- Coordinate visitor and stakeholder parking
- Assist with onboarding logistics including workspace setup and access
- Maintain shared spaces such as conference rooms, kitchens, and common areas
- Support sustainability initiatives such as composting and plants
- Troubleshoot and resolve operational issues
- Coordinate internal meetings, seminars, and events
- Schedule meetings and manage space reservations
- Prepare agendas and meeting materials
- Coordinate catering, setup, and cleanup
- Provide AV setup and troubleshooting
- Support faculty, staff, and internal programs logistically
- Monitor events and address issues as they arise
- Assist with post-event follow-up and documentation
