The Office Coordinator role at La Familia serves as a vital communication hub for the Central Valley office, ensuring smooth office operations and a welcoming environment for clients, visitors, and staff. This position requires a proactive and organized individual who can efficiently manage multiple administrative tasks including handling the main phone console, greeting visitors, scheduling appointments, and performing data entry through electronic health records.

Job Requirements

  • High School Diploma or GED or equivalent
  • Minimum 2 years experience in behavioral health as a receptionist or intake personnel
  • Bilingual Spanish/English preferred
  • Proficient with general office technology and electronic health record systems
  • Ability to exercise discretion handling confidential information
  • Experience working in non-profit or community-based organizations preferred
  • Valid California Driver’s license
  • Ability to manage multiple tasks and strong organizational skills
  • Ability to communicate effectively and work collaboratively in a diverse environment

Job Qualifications

  • High School Diploma or GED or equivalent
  • Minimum 2 years experience working in a behavioral health environment as a receptionist or intake personnel
  • Bilingual Spanish/English preferred
  • Knowledge of general office machines, telephone systems, fax machines, PDF operations, and other information systems
  • Exercises extreme discretion with the ability to hold, balance and transmit public and confidential information
  • Experience in non-profit and community-based organizations preferred
  • Demonstrates and models excellent customer service orientation and ability to work with diverse populations
  • Proficient in MS Office and Google Workspace products
  • Valid California Driver’s license required

Job Duties

  • Welcome clients and visitors by greeting them in person or on the telephone and answering or referring inquiries
  • Direct visitors using employee and department directories and providing instructions
  • Exercise good judgment regarding client needs
  • Maintain a neat and clutter-free front office and reception area
  • Keep office kitchen and supply space clean and orderly
  • Answer phones and respond to client questions including scheduling and referral intake
  • Verify client insurance eligibility and resolve insurance-related issues
  • Accept, sort, mark, and distribute mail, packages, and faxes
  • Distribute staff reimbursement checks and make bank deposits
  • Order and maintain inventory of office supplies
  • Check voicemail and email daily and distribute messages promptly
  • Maintain photocopy machine supplies
  • Report any building maintenance concerns
  • Schedule meetings and reserve conference rooms
  • Maintain calendar schedules for conference rooms
  • Provide support to Regional Director, Director of Clinical Services, and leadership team with confidentiality
  • Ensure evacuation maps and fire extinguishers are current
  • Update agency Safety Site Plan
  • Perform office opening and closing procedures
  • Set and maintain building security alarm system
  • Generate and submit monthly audit checklists
  • Attend relevant trainings and participate in key agency events
  • Track and report metrics for responsible function areas
  • Lead and collaborate on projects supporting agency objectives
