This specific role is based onsite at our Overland Park, Kansas location, requiring full-time, in-office commitment five days a week. As the first point of contact for TENEX’s Overland Park office, you will represent the company to employees, candidates, customers, and visitors alike. Beyond basic reception duties, you will play a crucial role in ensuring smooth office operations, covering everything from building maintenance and meal coordination to meeting support and event assistance. You will embody our customer-first values internally, treating TENEX employees and guests as top priorities to create a welcoming, efficient, and professional environment. This position not only involves managing day-to-day responsibilities but also requires a proactive approach to problem-solving and facility management.

You will oversee important office functions such as managing visitor check-ins, maintaining stock supplies, scheduling catering for team lunches, and ensuring all common areas remain presentable and functional. Your role also extends to managing vendor relationships related to building repairs and maintenance, ensuring any issues are promptly identified and resolved. Furthermore, you will coordinate logistics for onsite meetings and team events, supporting both the office atmosphere and operational excellence. Collaboration with our People Operations team will be essential to cultivate a workplace culture that employees look forward to coming to every day, making your contributions vital to TENEX’s identity and success.

Job Requirements

  • 2+ years in a receptionist, office coordinator, administrative, or hospitality role
  • A warm, service-first presence with strong interpersonal and written/verbal communication skills
  • Exceptional organization and a consistent sense of urgency – hours and minutes count, not days and weeks
  • Extreme ownership: you don't make excuses, you figure out a way to win
  • Proficiency with common workplace tools (Google Workspace) and a disposition toward learning – if there's a better way to do it, you find it
  • Ability to work onsite five days per week and handle occasional lifting (deliveries, supplies, event setup - up to 50 lbs)

Job Duties

  • Be the first point of contact for the Overland Park office – greet employees, candidates, customers, and guests like they matter
  • Manage visitor check-in and get guests connected with their hosts fast
  • Prepare the front office meeting room for new hire arrivals and set it up for People Operations' day-one sessions
  • Receive, sort, and distribute mail, packages, and deliveries
  • coordinate outbound shipments
  • Keep the reception area, conference rooms, and common spaces sharp and ready at all times
  • Own day-to-day office operations – a clean, safe, efficient workspace is the baseline, not the goal
  • Manage building maintenance vendor relationships, driving service and repairs through to done
  • Manage office inventories: food, beverages, snacks and office supplies
  • Ensure our kitchen is always stocked and presentable
  • Handle weekly lunch schedules and catering orders – because free lunch is how we cross-pollinate ideas and drive progress
  • Spot facilities issues before anyone else does
  • if it's broken, you're already on it
  • Own logistics for onsite meetings and team gatherings – scheduling, setup, catering, day-of execution
  • Support offsite and visitor logistics for leadership and customer meetings, if requested
  • Partner with People Operations on programs that make the office a place people want to be
  • Raise your hand – jump in and support the People Operations team when they need backup
