Job Description
The hiring establishment is an educational institution seeking a proficient Office Assistant 3 / Receptionist, preferably Spanish-speaking, to enhance their administrative team. This role is pivotal in creating a welcoming and organized office atmosphere, serving as the first point of contact for students, staff, visitors, and other stakeholders. The institution places a strong emphasis on efficient communication and administrative support, aiming to maintain smooth daily operations and a positive environment for all who walk through its doors.
This particular position is a full-time role that reports directly to the HR Executive Assistant. The Office Assistant 3 / Receptionist will undertake diverse responsibilities including greeting and directing visitors, responding to various inquiries both in-person and over the phone, and managing mail and deliveries. The role extends to providing clerical support such as scheduling meetings, data entry, managing office supplies, and handling essential documentation like purchase orders and school event communications. Fluency in Spanish is preferred to effectively communicate with a broad community of students, parents, and staff in the institution’s multicultural setting.
The job requires a variety of skills that include first aid administration, customer service excellence, attentive listening, monitoring activities, and managing office practices such as ordering and bookkeeping. Competency in basic math calculations, strong written and verbal communication abilities, and proficiency in office software and equipment are critical for success. The Office Assistant must be adaptable and flexible, able to multitask, prioritize duties, maintain confidentiality, and work efficiently within standardized procedures, all while maintaining a professional and friendly demeanor.
In terms of work conditions, this role entails physical tasks such as lifting, carrying, and fine finger dexterity with an estimated activity distribution of 50% sitting, 30% walking, and 20% standing. Given the dynamic environment of an educational setting, the ability to remain calm and responsive during emergencies such as police, fire, or bomb threats is essential. The position offers ongoing opportunities for professional development to keep up with the evolving needs and demands of the job.
Applicants need to have a high school diploma or equivalent, job-related experience, and must undergo a criminal justice fingerprint/background clearance. The role also occasionally requires continuing education or training to accommodate changes in job functions. This office assistant position is crucial for maintaining the operational rhythm and community engagement within the institution, making it an excellent opportunity for candidates who are organized, communicative, and committed to supporting an educational environment.
