The Office of Disciplinary Counsel is currently seeking a motivated and professional individual to join their team as a Front-Line Service Representative under general supervision. This role is essential for providing efficient, courteous, and professional first-contact services to the office. The successful candidate will be managing all incoming communications, including directing and forwarding calls to the appropriate personnel. They will also coordinate with security personnel regarding visitor management, ensuring that all visitors are welcomed warmly and guided to the relevant staff members effectively.
In this position, the individual will be responsible for handling routine information requests either directly or by directing them to the correct office staff. Additionally, they will provide general clerical and secretarial support, which involves maintaining internal contact directories, tracking office supplies, coordinating maintenance for office equipment, and managing packages and correspondence. This multifaceted role requires a detail-oriented and organized professional who can prioritize tasks and effectively manage their workload in a busy office environment.
The Front-Line Service Representative must demonstrate strong communication skills, both verbal and written, as they will interact regularly with judges, attorneys, and members of the public. They must handle sensitive information with discretion and exercise good judgment in correspondence and documentation management. Knowledge of law office administrative practices is beneficial, although willingness to learn on the job is also valued. The candidate should have a solid grasp of grammatical rules, spelling, language usage, and clerical formatting to ensure accuracy in all communications.
This position requires at least a high school diploma and one year of clerical experience. Proficiency in computer skills, including the Microsoft Office Suite, is essential. Familiarity with court or legal office settings is preferred but not mandatory. The job encourages a professional work ethic that avoids prolonged breaks or extended social conversations during work hours to maintain productivity and an efficient work atmosphere.

Job Requirements

Job Duties
- Manage all incoming calls to the main office number of the Office of Disciplinary Counsel
- Ensure calls are accurately forwarded to the correct person or department
- Address routine information requests directly or refer callers to appropriate staff
- Take messages for unavailable staff members
- Welcome visitors with a friendly greeting and identify the purpose of their visit
- Direct visitors to the appropriate person or office
- Handle general clerical and secretarial duties including maintaining contact directories, recordkeeping, managing office supplies, coordinating equipment maintenance, and handling packages and correspondence
