This part-time Office Assistant position based in Boston, MA, offers an opportunity for candidates to join a dynamic administrative team that supports a high-end office environment. The role is designed to maintain the aesthetic quality and cleanliness of the office, which accommodates over 125 team members across two floors. The position is part-time, with working hours scheduled Monday through Thursday from 1:00 PM to 5:30 PM and Friday from 12:00 PM to 5:30 PM, requiring 20-23 hours of work weekly. The estimated hourly pay ranges between $22 and $26.

The Office Assistant is a pivotal role focusing on facilities management and general administration. Responsibilities include maintaining shared spaces such as meeting rooms, libraries, kitchens, and pantries to high standards. This ensures a welcoming and efficient workspace for all employees and visitors. In addition to cleaning and tidying duties, the role involves logistical support such as assisting with seat changes, workstation setups, and moving office equipment. The Office Assistant also aids in managing office and pantry supplies, mailroom operations, and the upkeep of the Materials Library, which involves organizing, sorting, coordinating with vendors, and handling package deliveries.

Supporting internal and client meetings is another central duty, where the Office Assistant prepares meeting spaces, manages supplies and equipment, and assists with food and drink setups. This role also requires flexibility to provide backup support to other administrative roles including the Office Coordinator and Receptionist as needed. Job Requirements

  • Minimum of 3 years of similar experience in a corporate environment preferred
  • Must be polished and professional
  • Available to work Monday – Thursday from 1:00 PM – 5:30 PM, Friday 12:00 PM – 5:30 PM and additional hours as needed
  • Able to lift 50+ lbs
  • Aptitude to take initiative, be proactive, and maintain productivity without supervision

  • Effective verbal and written communication required
  • Knowledge of Outlook email and Microsoft Teams as communication tools required

Job Duties

  • Provide a full range of office maintenance services for an office of 125+ team members on two floors
  • Maintain the aesthetic integrity of the office by monitoring and tidying workspaces, printer areas, pantries, conference rooms, teaming areas, library and common areas at all times
  • Assist staff as needed with seat changes, setting up workspaces, installing/breaking down computers, helping move items
  • Monitor and organize office and pantry supplies and sample returns
  • Assist with setup and clean-up of onsite internal and client meetings by ensuring conference room tables and chairs are clean and in order, dishes and mugs are stocked and removed after meetings, assisting with food/drink setup and removal, dry-erase boards and walls are clean and paper and other materials put away after meetings
  • Assist with mailroom operations as needed, including receiving and delivering packages and returns
  • Assist with Materials Library maintenance, including keeping the library clutter free, sort and pack materials, bring packages down to pick up area, send and receive communications with outside vendors to arrange sample retrieval
  • Monitor kitchen regularly, load/unload the dishwasher, and stock supplies as needed
  • Provide backup support to the Office Coordinator and Receptionist as needed
  • Assist Studios and other departments as needed
