The Neonatal ICU Office Assistant role is vital in maintaining efficient operations within one of the most critical units, the Neonatal Intensive Care Unit (NICU). This is a full-time position involving 12-hour shifts on the first shift schedule in the United States. The primary responsibilities include serving as a receptionist for the assigned department, providing clerical and general office support for departmental daily operations, and being a helpful point of contact for both internal stakeholders and external customers such as patients and their families. The focus of this position emphasizes supporting patients and their loved ones first and foremost, ensuring a compassionate and seamless experience when navigating hospital services.

In this role, the Office Assistant handles multiple tasks simultaneously including answering multi-line phones, managing schedules, maintaining communication logs, and facilitating smooth coordination within the unit and with external contacts. Effective communication skills, both verbally and in writing, are mandatory to excel in this role, alongside proficiency in computer navigation and email communication. The position demands that the candidate be able to handle difficult or challenging interactions with tact and professionalism, quickly escalating issues to management when needed.

This position requires a high school diploma or equivalent as a baseline qualification. Prior experience with customer service or working with patients is preferred, with additional value placed on familiarity with telecommunication systems, general office equipment, and organizational tools like computer log books.
