The role of the Office Liaison Assistant is an integral part of maintaining smooth operations within the district's administrative functions. Reporting under close supervision, the individual in this position serves as the first point of contact for visitors and callers, providing a welcoming atmosphere and efficient clerical support. This full-time position offers an hourly pay rate of $19.25, with a work schedule of 8 hours per day over a 260-day contract year.
In this role, the Office Liaison Assistant executes a variety of clerical and organizational tasks, ensuring the office environment remains orderly and functional. Key responsibilities include greeting visitors, answering and transferring telephone calls, sorting and distributing mail, handling documentation such as letters and labels, as well as managing copies and faxes. The assistant also plays a supportive part in maintaining employee records, entering data accurately into multiple databases, processing employee absence information, coordinating verification requests, and scheduling appointments and meetings.
This position also involves logistical duties such as ordering, distributing, and monitoring office supplies, and may extend to supporting district events like job fairs and health fairs. The assistant is expected to have a solid grasp of the district’s policies and clerical practices, demonstrating strong communication skills and the ability to maintain good working relationships across departments.
Candidates for this role should be comfortable working indoors and capable of performing physical activities such as sitting, standing, bending, and lifting as needed. The work environment may occasionally involve exposure to challenging interactions with staff, students, or the public, requiring professionalism and patience.
The ideal candidate will hold a high school diploma or equivalent and bring at least one year of clerical experience or an equivalent combination of training and experience. Being bilingual in Spanish and English is a preferred qualification, enhancing communication within the diverse community served by the district.
