Job Description

The hiring establishment is a reputable law firm located in Honolulu, known for delivering comprehensive legal services to its clients. This position, under the direction of the Director of Administration, plays a crucial role in supporting the firm's attorneys, staff, and overall operations through a wide range of administrative, copy and mail, and office services. The role is multifaceted and combines providing administrative assistance, managing copy and print services, overseeing mailroom activities, and general office support. The individual in this role will be responsible for booking travel arrangements, ordering office supplies, preparing conference rooms, assisting with reception coverage, completing copy and print requests with great attention to detail and confidentiality, sorting and managing mail shipments, and supporting hospitality services.

This full-time position requires dedication to maintaining high standards of accuracy, communication, and efficiency in a fast-paced legal environment. Working Monday through Friday from 8 a.m. to 5 p.m. on-site in Honolulu, the role occasionally requires flexibility for early mornings, evenings, or weekend support. This comprehensive administrative and operational position is ideal for individuals who thrive in organized settings, enjoy diverse responsibilities, and seek opportunities to contribute to the seamless functioning of a prominent law firm. Training will be provided to ensure the candidate is well-equipped to perform the varied tasks involved, making it suitable for candidates with or without previous experience in print shops, mailrooms, or administrative services.

Job Requirements

  • High school diploma or equivalent preferred
  • no prior experience required but training will be provided
  • previous work in print shop, mailroom, or administrative services environment is a plus
  • ability to lift and carry up to 30 lbs with assistance if needed
  • regular standing, walking, and use of hands and arms
  • frequent bending, reaching, and handling of paper and office materials
  • availability to work full-time on-site Monday through Friday between 8 a.m. and 5 p.m.
  • flexibility to provide occasional support during early mornings, evenings, or weekends

Job Qualifications

  • High school diploma or equivalent preferred
  • good communication and interpersonal skills
  • ability to follow written and verbal instructions
  • strong attention to detail and task follow-through
  • capable of managing time and competing priorities in a high-volume setting
  • basic computer literacy including email and simple data entry
  • comfortable with standard office equipment such as copiers and postage machines

Job Duties

  • Provide general administrative support to attorneys and staff
  • responsible for booking all travel requests including airline, hotel, and car reservations
  • order and manage inventory of office and lounge supplies
  • assist with hospitality services and conference room setup
  • assist with reception desk coverage and perform receptionist duties in absence
  • complete copy, print, scan, and binding requests with attention to detail
  • maintain confidentiality of client and firm materials
  • track and prioritize tasks using internal job tracking systems
  • deliver completed copy jobs to appropriate personnel or locations
  • communicate clearly with requestors regarding special instructions or deadlines
  • receive, sort, and distribute incoming mail and packages
  • prepare and process outgoing mail including interoffice deliveries
  • assist with hand deliveries and courier services as needed
