The role of Office and Events Coordinator at Parabilis is integral to maintaining a vibrant and efficient workplace. This position is responsible for managing the day-to-day functions of the office, ensuring that the workspace remains organized, welcoming, and fully operational. The coordinator acts as a central point of contact for facilities management, vendor relations, and employee experience initiatives. In addition, the role involves spearheading event coordination efforts, delivering memorable and engaging events that boost team morale and client relations.
The Office and Events Coordinator’s duties encompass maintaining office appearance and functionality, managing relationships with building management and outside vendors, overseeing the company’s building access control system, and administering the parking program tied to personnel changes. The coordinator also greets and hosts visitors, handles office supply inventory and ordering, processes incoming deliveries, and performs maintenance on office equipment such as coffee machines. On the administrative side, the role supports leadership and staff by scheduling meetings, coordinating onboarding and offboarding equipment logistics, and maintaining conference room calendars.
Event planning is a significant component of the position, with responsibilities including organizing regular monthly and quarterly events such as birthday celebrations, happy hours, team-building activities, client appreciation events, and holiday parties. The coordinator collaborates with stakeholders to align event themes with company culture, handles event logistics from invitations to cleanup, manages budgetary considerations, and incorporates feedback to refine future events. There is also an opportunity to manage the company’s hospitality suite fully, enhancing the guest experience and expanding operational responsibilities.
This position requires a candidate who possesses exceptional organizational skills, excellent communication abilities, discretion in handling confidential information, and a customer-service orientation. Proficiency with Microsoft Office and experience in office management, executive support, or event coordination are essential. Job Requirements
- Associate degree or higher preferred
- minimum 2 years of relevant experience in office management, event coordination, or administrative roles

Job Duties
- Maintain the overall appearance and functionality of the office, keeping common areas organized and visitor-ready
- liaise with building management on service requests, repairs, and maintenance
- oversee outside vendors and coordinate deliveries
- act as the company’s point of contact for the building access control system, including badge provisioning and deprovisioning
- manage the company’s parking program, including account oversight, validation tickets, and adding or removing parking access tied to onboarding and offboarding
- greet and host all office visitors, providing a warm and professional first impression, and coordinate with building security in advance of arrivals to ensure smooth check-in
- inventory, order, and restock office supplies, refreshments, and snacks
- track usage, process supply requests, manage related vendor relationships, analyze costs, and research deals to capture savings
