Job Description
The Vibe is a dynamic Venture Capital firm located in the heart of San Francisco, occupying an impressive 5,000 square foot office space that embodies innovation, tech culture, and community spirit. This firm distinguishes itself from traditional corporate environments, offering a lively, modern atmosphere where collaboration and cutting-edge ideas intersect. Known for its fast-paced and energetic working environment, The Vibe is deeply embedded in the startup ecosystem, supporting a variety of early-stage companies and fostering connections between founders, investors, and the broader technology industry.
The firm seeks an enthusiastic and detail-oriented Office & Events Coordinator who will be central to maintaining the vibrancy and smooth operation of their workspace. This role is uniquely dual in nature, blending responsibilities for operational excellence within the office and the creative, logistical management of a broad range of events. The position demands a candidate who thrives in a fast-moving, startup-like environment and enjoys mixing hospitality with tech culture.
In this role, the Office & Events Coordinator will ensure that the 5,000 square foot office environment is impeccably maintained, creating a welcoming and professional atmosphere for visiting founders, investors, and team members. This involves managing vendor relationships for catering, snacks, and office supplies, as well as overseeing the overall presentation of the space to make a great first impression on all visitors.
Equally important is the event management aspect of the position. The coordinator will take ownership of designing and executing events ranging from intimate dinners for founders to lively demo days and networking mixers. Responsibilities include managing RSVPs, coordinating technical and audiovisual setups, sourcing local catering, and serving as the on-site point person to ensure every detail of each event runs flawlessly.
The ideal candidate is also a culture champion – someone who brings a youthful, modern energy that contributes to making the office a hub of interaction and creativity within the San Francisco tech community. This involves brainstorming and implementing initiatives that nurture a positive and inclusive environment suited to fast-paced tech innovation.
Supporting the partners and broader team with light administrative duties will also be part of the role, including scheduling conference rooms and greeting guests with a hospitality-first attitude. The firm values a high-energy, people-first approach, and they seek someone with a "no task too small" mindset who pays close attention to the finer details, from the freshness of the coffee to the precision of event signage.
Technological aptitude is important as well, with the coordinator expected to be comfortable using modern tools such as Slack, G-Suite, Eventbrite, and Luma, as well as troubleshoot basic office technology issues as they arise. Candidates with 1-3 years of experience in hospitality, event planning, or office coordination are preferred, but personality and potential are prioritized over a lengthier resume.
Joining The Vibe offers unique exposure to the venture capital and startup ecosystem, positioning the coordinator within one of the world’s most recognized tech hubs. The workspace is vibrant and modern, offering numerous opportunities to build a professional network and grow career skills in an exciting industry. This role is perfect for someone who wants to blend operational organization, event creativity, and community engagement in a singular role at the forefront of tech innovation and venture capital.
