The Office and Events Coordinator role at GBC offers a unique opportunity to contribute to the organization’s operational excellence and event execution during this transformative time. The role is a balanced 50/50 hybrid between managing daily office operations and supporting the execution of key events and convenings. The Coordinator will act as the operational backbone of the organization’s office environment while simultaneously ensuring that all events—ranging from internal meetings to major convenings—are executed flawlessly.

This role requires strong organizational skills, a proactive mindset, and the ability to juggle multiple responsibilities effectively in a fast-paced setting. The successful candidate will be responsible for maintaining a professional, well-functioning office space that reflects GBC’s brand and values. They will build and optimize operational processes, coordinate vendor relationships, manage organizational calendars, and support cross-functional collaboration to enhance efficiency. On the events side, the Coordinator will partner closely with the Director of Events to handle every aspect of event logistics, vendor sourcing, registration, on-site execution, and post-event activities.

The position offers competitive compensation ranging from $55,000 to $60,000 annually, commensurate with qualifications and experience, along with potential eligibility for an annual performance-based bonus. This role is pivotal to GBC’s mission as it supports both the internal organizational infrastructure and the public-facing activities that showcase GBC’s leadership in the Baltimore region. Job Requirements

  • High school diploma or GED certificate
  • Bachelor's degree highly preferred
  • 1+ years of relevant experience in office management, operations, or event coordination
  • Ability to manage multiple projects and timelines accurately
  • Strong communication skills
  • Proficiency in Microsoft 365
  • Familiarity with Salesforce, SharePoint, or Monday.com preferred

Job Qualifications

  • Bachelor's degree highly preferred
  • 1+ years of experience in office management, operations, event coordination, or similar roles
  • Demonstrated ability to manage multiple projects and timelines simultaneously without losing accuracy
  • Strong written and verbal communication skills
  • Proficiency in Microsoft 365 including Outlook, Teams, Word, and Excel
  • Experience with Salesforce, SharePoint, or Monday.com is a plus
  • Ability to handle sensitive information confidentially

Job Duties

  • Own day-to-day operations of GBC's office including front-of-house, phone calls, vendor relationships, supplies, and facilities coordination
  • Coordinate with vendors for repairs, cleaning, security, laundry, printers, and name badges
  • Manage the GBC organizational calendar in collaboration with the Sr. Operations Manager
  • Build and own operational processes that create consistency and reduce dependencies on individual staff knowledge
  • Coordinate cross-functionally to support preparation, logistics, and follow-through for meetings, retreats, team building activities, conferences, and events
  • Leverage technology tools and support quality data capture in core systems such as Salesforce, SharePoint, and Monday.com
  • Create, manage and continuously improve routine administrative workflows
  • Handle general administrative tasks including credit card reconciliation, email correspondence, and administrative support
  • Partner with the Director of Events on end-to-end execution of events
  • Manage vendor sourcing and tracking for events including caterers, photographers, venue rentals, and AV
  • Conduct site visits, take measurements, and capture documentation for venue and layout decisions
  • Own event registration processes including RSVP tracking, data integrity, badge production, and on-site registration
  • Develop and maintain event run-of-show documents, logistics checklists, and post-event wrap-up protocols
  • Support pre- and post-event sponsorship management and coordinate communications with the Communications and Partnerships team
