The role of the Office Administrator, Receptionist at Buena Vista Recovery is vital as the first point of contact for anyone entering the facility. This position is responsible not only for greeting and directing clients, visitors, and staff but also for managing all incoming communications such as phone calls, emails, and chat messages efficiently. The Office Administrator plays a key role in maintaining security protocols including visitor credentialing and ensuring compliance with HIPAA patient data protection standards. Working closely with the leadership team, especially the Executive Director and Human Resources, this position assists with important communication dissemination, employee badge creation, and organizational support. Additionally, this role coordinates office supplies management, document filing, and recognition events to support a smooth and productive office environment. This is a dynamic role that requires excellent interpersonal and organizational skills to multi-task in a fast-paced behavioral health setting. Job Requirements

- 2+ years of experience in front desk reception
- Valid Level one fingerprint clearance card prior to hire
- Strong customer service skills
- Strong interpersonal and communication skills
- Strong organizational skills with ability to prioritize, multi-task, and problem-solve
- Demonstrated proficiency with Microsoft Office including Word, Excel, PowerPoint, Teams, and Outlook
- Working knowledge of HIPAA PII security requirements
- If candidate self discloses in sobriety – Buena Vista requires 1 year of continuous sobriety
Job Qualifications

- Working knowledge of HIPAA PII security requirements

- Experience working in behavioral health preferred
- If candidate self discloses in sobriety – requires 1 year of continuous sobriety
Job Duties
- Answers all incoming phone, chat, and e-mail communications and monitors other communication needs for office staff
- Properly screens communications and directs them to the appropriate resources
- Greets and directs all staff, clients, and visitors to the appropriate place while ensuring proper credentialing for all visitors
- Works with leadership team to organize and file requested documents, while maintaining HIPAA patient data security standards
- Works with appropriate resources for replacement or addition of needed office supplies before they are depleted
- Works with the Human Resources department for new employee badge creation on new employee orientation days
- Works closely with Executive Director to send out important communications to staff via Microsoft Teams and e-mail using Outlook
- Updates Microsoft Yammer as requested by Business Development team
- Scans and files all required documents to appropriate secure locations
- Coordinates recognition activities including planning and acquisition of supplies for events
- Supports leadership staff as needed
- Responsibilities for order supplies for all campus
- Additional duties as directed on an as needed basis
