Heritage Real Estate Company is currently seeking a full-time Office Administrator to join the Heritage Ascent team. This exempt salaried position starts at $40,000 annually, with the final salary dependent on experience. The Office Administrator will be based out of the Heritage Ascent Corporate Office in Albuquerque, NM. This role is pivotal as the face of Heritage Ascent, responsible for delivering exceptional customer service and ensuring the smooth daily operations of the coworking space and executive office suites.

The Office Administrator will be the primary point of contact for members, guests, and prospective clients, managing a variety of front desk responsibilities with a focus on creating a welcoming and professional atmosphere. Key tasks include handling tours and onboarding for new members, coordinating meeting room and office reservations, managing mail and packages, troubleshooting minor technical issues such as WiFi or printer problems, and supporting the overall upkeep and organization of the workspace.

Alongside administrative duties, the role involves close collaboration with the Sales & Marketing Manager and property management teams to support member engagement and facility utilization. The Office Administrator is expected to maintain high standards of hospitality, anticipating client needs proactively, and contributing to a positive and seamless experience for all users of the space.

This position requires a flexible schedule with the occasional need to work evenings or weekends to accommodate business events and client activities. A strong service-oriented mindset, coupled with excellent communication skills and organizational abilities, is crucial for success in this role. Job Requirements

Job Duties

  • Open and prepare Heritage Ascent space daily to ensure a clean, welcoming, and fully functional environment
  • greet and assist members and guests with a warm, professional demeanor
  • conduct tours for potential members, highlighting services and membership benefits
  • coordinate move-in details and onboarding for new companies
  • troubleshoot and escalate basic technical issues
  • manage mail and package delivery with accurate logging
  • coordinate reservations for offices and conference rooms
  • maintain cleanliness and organization in common areas
  • enter and track invoices and coordinate with accounting
  • collect outstanding balances and ensure accounts are current
  • process credit card payments for memberships and bookings
  • review client billing and follow up on unpaid invoices
  • monitor inventory levels and order supplies
  • assist with planning and execution of events
  • collaborate with Sales & Marketing Manager for tours and communication
  • answer and route incoming calls
  • provide administrative support for clients
  • support Heritage Real Estate Company with special projects and general office tasks
  • uphold a professional image and client experience consistently
  • adapt to flexible scheduling including evenings or weekends
  • perform other job-related duties as assigned
