The current opportunity is for an Off-Track Events Manager to join the team at their facility in Indianapolis. This role is pivotal in developing and delivering premium hospitality and off-track events that support the growth and retention of commercial partnerships. The position involves strategizing and executing a year-round hosting program that creates memorable experiences for current partners and prospective clients alike. The role requires overseeing event operations, managing logistics, and ensuring flawless execution across all hospitality and racing market activities.
Key responsibilities include leading race week programs, managing guest accommodations and transportation, coordinating dining and gifting, creating detailed itineraries, and maintaining accurate budget reports. Additionally, the Off-Track Events Manager supports the coordination of major sporting and entertainment events like the Final Four, Indianapolis Colts, Indiana Pacers, Fever games, Wimbledon, the Super Bowl, and the Indy 500. This role also plays a significant part in building strong relationships with internal teams, vendors, venues, and external partners to continually enhance the quality and impact of hospitality experiences.
This position demands a proactive, detail-oriented professional with exceptional organizational and communication skills, capable of thriving in a fast-paced, high-pressure environment. Flexibility around travel and event schedules outside standard business hours is essential. - Proven experience in event management, hospitality, partner engagement or commercial hosting environments
- Strong experience coordinating high-profile events and VIP guest experiences
- Exceptional organizational skills with the ability to manage multiple projects simultaneously

Job Qualifications

Job Duties
- Lead the logistics, curation and delivery of race week programs for current partners and prospects
- Manage end-to-end hosting experiences including accommodations, transportation logistics, dining reservations, gifting and guest communications
- Create and manage detailed guest itineraries and ensure a seamless hospitality experience throughout all events
- Track event budgets, maintain accurate reporting and support cost management processes
- Coordinate cross-company hosting opportunities including major sporting and entertainment events such as Final Four, Colts, Pacers and Fever games
- Support the planning and execution of additional off-track events and commercial hospitality activations
- Manage prospecting trips and partner hosting programs that support revenue generation and commercial growth
