Job Description

The Children's Guild is a respected nonprofit organization committed to providing comprehensive clinical and educational services to children and families throughout the Greater Baltimore and Washington region. As one of the region's most experienced child-serving organizations, The Children's Guild plays a vital role in supporting the emotional, social, and academic development of thousands of youths and young adults every year along with their families. The agency operates a broad continuum of care that includes public charter and contract schools, specialized education institutions, schools dedicated to children with autism, preschool programs, treatment foster care, apprenticeships, and pre-career programs. This role is for a Receptionist who will be a key representative of The Children's Guild. The Receptionist’s primary responsibility is to provide a welcoming and professional environment for students, families, guests, staff, and visitors who come to the campus or connect via telephone, cell, or radio. This position is crucial in facilitating smooth communication and coordination within the agency, attending to all assigned areas diligently and completing special projects as needed. The Receptionist is expected to manage the front desk with hospitality, maintain communication systems including the switchboard, and oversee logistical tasks such as room reservations and message distribution. In addition, the role includes important duties related to maintaining the tidiness and operations of the waiting area, offering hospitality services such as seating and refreshments, and handling miscellaneous clerical responsibilities such as billing data entry, mail distribution, and special projects.

The ideal candidate will bring at least 1-2 years of relevant experience, preferably within a school or educational environment, along with proficiency in Microsoft Office applications, particularly Excel, and general database experience. Strong communication and organizational skills are vital, as well as the ability to multitask and handle emergencies professionally. Physical demands include the ability to stand, walk, sit, reach, climb, balance, stoop, kneel, crouch, crawl, and lift or move over 100 pounds when necessary. Job Requirements

  • At least 1-2 years working experience in a relevant field
  • Experience in a school environment ideal
  • Working knowledge of Microsoft Office, especially Excel
  • Database and job-related experience required

Job Qualifications

  • High school diploma or equivalent
  • Post-secondary courses in business, office management, bookkeeping, or office skills preferred
  • Minimum of two years' experience in clerical support positions
  • Experience in a school system or educational environment preferred
  • Proficiency in Microsoft Office, especially Excel
  • Experience with database management
  • Strong communication skills
  • Ability to multitask and prioritize tasks effectively
  • Professionalism in handling sensitive situations

Job Duties

  • Answer the switchboard within three rings and direct calls to appropriate parties
  • Direct night messages immediately each morning to relevant staff
  • Escort or connect students and guests with their intended contacts
  • Manage the room reservation system daily
  • Participate in building evacuations as directed by policy
  • Announce all intercom messages professionally and properly phrased
  • Prioritize and manage medical emergencies immediately
  • Troubleshoot and maintain phone systems and ensure transportation for IEPs and other needs
  • Set up all counter items each morning and maintain tidiness of the waiting area
  • Ensure reading materials and brochures are current and neatly arranged daily
  • Operate video machine in waiting area for guest viewing
  • Offer beverages and seating to guests
  • Notify staff of guest arrivals and update on wait times exceeding five minutes
  • Handle emergencies and student crises discreetly and professionally
  • Complete billing data entry and other clerical tasks such as mail handling and special projects
  • Receive and distribute mail and packages appropriately daily
  • Mail out evening correspondence to the post office at close of business
