The Guest Services Representative's role is vital in shaping guests' first and lasting impressions. The representative is responsible for organizing, confirming, and processing all guest check-ins and check-outs, managing room reservations, and handling requests, changes, and cancellations with efficiency and accuracy. This role requires managing secure payment processes, verifying and adjusting billing records, and handling various payment types including adjustment vouchers and correction vouchers. The position involves activating and filing room keys, responding to guest requests promptly, relaying messages, and maintaining contingency lists to ensure accurate records in case of emergencies. In addition to operational tasks, the representative acts as an ambassador for the hotel’s amenities, services, and local area information, ensuring guests receive thorough guidance and assistance throughout their stay.
The job demands a high level of diligence in following company policies and procedures, maintaining confidentiality of proprietary information, and securing company assets. The candidate must exhibit professionalism in appearance and communication, welcome guests warmly, anticipate and address their service needs, assist individuals with disabilities, and uphold excellent customer service standards. Further duties include answering telephones with appropriate etiquette, supporting team efforts to achieve common service goals, complying with quality assurance standards, and participating actively in maintaining a safe and welcoming environment.
