Job Description

This role, responsible for the total front office operations, serves as the backbone of guest relations and hotel administration. The position requires acting as the Manager on Duty, a role that entails responding promptly to guest requests and representing the hotel during late evening and early morning hours when management staff might not be readily available. The individual in this role ensures seamless communication with other management personnel to uphold service standards and handle any issues or special circumstances that arise during their shift.

The ideal candidate will be someone who exemplifies honesty, trustworthiness, and professional integrity given that company associates have access to guestrooms and property. Passing the necessary security clearances to meet company policy is essential. Prior experience in accounting, sales, telesales, service, or guest relations industries is preferred, along with at least a high school diploma or equivalent qualification.

Major responsibilities include greeting and registering guests with utmost respect to privacy, providing accurate room assignments, and accommodating special requests whenever feasible. There is a strong emphasis on promoting and selling hotel services and amenities as a way to boost guest engagement and repeat business, making each guest interaction an opportunity for enhanced revenue generation. The role also involves staying informed about all aspects of the hotel’s operation, including property layout, room types, rates, reservations procedures, and frequent stay programs, to better assist guests.

Physical demands of the job involve standing and walking for long periods, lifting and carrying up to 30 pounds unassisted, and maintaining a professional appearance. The candidate must be able to multitask efficiently, communicate clearly, and solve conflicts positively. Proficiency in using property management systems for posting charges, computing bills, collecting payments, and balancing financial transactions is required.

Additional responsibilities include maintaining cleanliness and order in the lobby and dining areas, managing emergency procedures, ensuring safety standards, and reporting any unusual occurrences promptly. Flexibility with work hours, including the ability to work night shifts, weekends, and holidays, is necessary due to the nature of hotel operations.

Job Requirements

Job Qualifications

  • High school diploma or equivalent
  • Prior experience in accounting sales telesales service or guest relations preferred
  • Proficient in written and verbal English
  • Computer literate with ability to operate property management system
  • Problem solving and conflict resolution skills
  • Good communication skills to interact with guests and staff
  • Ability to multitask and remain guest service centric

Job Duties

  • Greet and register guests provide room assignments maintain guest privacy accommodate special requests when possible
  • Promote and sell services and amenities of the hotel
  • Promote repeat business by taking future reservations and providing recommendations for alternate same brand-type products
  • Identify sales leads and report information to appropriate individuals
  • Communicate special requests and late check-outs to housekeeping and other departments
  • Check all credit cards for validity before the end of the shift
  • Learn and utilize property management system
  • Ensure cash check and miscellaneous departments are in balance at shift end
  • Maintain cleanliness and professionalism of lobby and dining areas
  • Follow emergency procedures and report hazardous conditions
  • Report unusual occurrences and requests to management
  • Maintain stock and cleanliness of market area if applicable
  • Maintain certification if alcohol is served
  • Be flexible with work schedule including overnight shifts
  • Assist with laundry housekeeping or food and beverage duties as needed
