Job Description

Woods Cove Inn is a charming coastal retreat located in the heart of Laguna Beach, perched above the Pacific Ocean. Woods Cove Inn is currently seeking a full-time Night Audit to join their dedicated team. The Night Audit role is integral to the smooth operations of the hotel, responsible primarily for closing the hotel’s financial books during nighttime hours. This position combines the responsibilities of accounting with guest service, ensuring that all transactions for the day are accurately recorded while also providing friendly, courteous, and professional assistance to guests throughout the night. The role requires the Night Audit to manage front office duties including handling reservations, check-ins, and check-outs, and maintaining communications both with guests and other staff members.

The Night Audit must demonstrate strong attention to detail, especially when calculating and posting revenues, receipts, and guest account transactions. Handling cash and credit operations securely and efficiently is a key part of the job, as well as maintaining accurate records. In addition to financial tasks, the Night Audit is the face of the hotel during overnight hours, maintaining a warm and welcoming demeanor, conveying information about hotel services and local events, and responding effectively to guest inquiries and requests.

Another important aspect of this role is the proper execution of established procedures for facilitating guest departures and arrivals, ensuring smooth transitions and high levels of guest satisfaction. The Night Audit operates telephone equipment such as the PBX system, managing incoming and outgoing calls, setting wake-up calls, and making sure guests receive all necessary communications promptly. The job also includes processing guest mail and messages and supporting communication within departments to enhance overall hotel operations.

Job Requirements

  • Previous experience in hotel front desk or night audit roles preferred

Job Duties

  • Maintain a friendly, cheerful and courteous demeanor always, while providing personalized service to hotel guests
  • Communicate effectively with guests and fellow team members
  • Greet guests arriving and complete established check-in procedures daily to ensure that guests are fully accommodated
  • Facilitate guest departures on a daily basis by following established procedures to close guest accounts and determine future room availability
  • Regularly calculate and/or post monies, receipts, guest accounts and other forms of credit using proper cash handling methods and established procedures to present accurate hotel charges upon check-out
  • Courteously answer inquiries and accept reservations, both in person and over the phone, utilizing the company’s reservation system
  • Accurately and professionally communicate hotel rates and information, employ suggestive selling techniques, and create value for guests
  • Maintain good guest relations by staying informed of all in-house and area functions to answer questions with timely and knowledgeable responses
  • Operate PBX equipment by accepting incoming calls, assisting outgoing calls, setting wake-up calls and ensuring timely communication to guests
  • Control cash and credit transactions at the front desk and maintain complete responsibility for personal bank as specified by hotel policy
  • Run night audit final after ensuring all revenues are in balance
  • Process all guest mail, messages and faxes by receiving, sorting, notifying and distributing to mailboxes and guests
  • Contribute to and maintain established information and communication sources such as department and front desk logbooks
  • Provide assistance to other team members and departments to contribute to overall department performance
  • Perform other duties as assigned, requested or deemed necessary by management
