This position is a vital role within the front office operations of an Azul Hospitality managed hotel. The primary purpose of the role is to record, process, and analyze the day's closing figures, ensuring accuracy and completeness in all financial transactions. The role encompasses completing all required reports and maintaining the balance of the day's credit transactions. Additionally, the position requires attending to guests' needs, including registration, checkout, cashiering, and making guest wake-up calls.
Serving as the Night Manager on Duty (MOD), the individual acts as the operational leader during nighttime hours, overseeing guest services and supporting all front desk functions. Key responsibilities include greeting and welcoming guests, conducting registration and checkout with professionalism, managing cash and credit transactions accurately, maintaining the house bank, and preparing daily financial audits and reports. The role demands excellent organizational skills and attention to detail to ensure all processes comply with established hotel and company procedures.
Exceptional customer service skills are essential to provide an inviting and efficient experience for guests. This includes addressing inquiries courteously, assisting with reservations, making restaurant or entertainment bookings, and managing special requests. Physical demands are moderate but include standing for extended periods, maneuvering in limited spaces, lifting up to 45 lbs, pushing and pulling carts or equipment, and operating office equipment requiring fine motor skills. The successful candidate must demonstrate leadership skills, strong issue resolution capabilities, and proficiency in relevant computer systems such as Windows OS, MS Office, property management systems (PMS), PBX, and point-of-sale (POS) systems.

Job Qualifications

Job Duties
- Acts as the MOD during the night-time hours
- greets and welcomes guests upon arrival
- performs guest registration and check out procedures
- accept payment for guests accounts both at the time of registration and at checkout
- maintain a house bank and make a deposit and accurate reports of receipts daily
- cash checks and exchange currency for guests
- accurately handle cash transactions and balance a cash drawer to the given amount
- acknowledge rewards members and returning guests
- take and manage guest bookings, up-selling opportunities and telling them about ways to improve their stay
- handle cash and credit transactions
- handle all guest inquiries and requests courteously and professionally
- perform all audit procedures daily as set forth by the hotel and company
- complete daily report, comp reports including F&B as well as rooms, pace reports, and any other reporting that is assigned
- balance all cash receipts and work performed during the audit shift
- make deposits of cash
- prepare the front office for the AM shift and reset days business
- maintain all nightly reports to inform day hotel management of overnight activities/incidents
- act as PBX operator during the audit shift
- transmits and receives messages using equipment such as telephone, fax, and switchboard
- ensure all wake up calls are made in a timely fashion, properly using guest names
- ability to assist/direct hotel guests and/or emergency personnel in case of an emergency
- post charges such as room, food, liquor, or telephone by hand or machine
- make restaurant, transportation, or entertainment reservations for guests
- review current days arrival reports
- check all special request reservations to ensure that the room is blocked per request, VIPs identified, billing is set up correctly, deposits are taken, and other departments are notified of room assignment
- attend all scheduled training, departmental and hotel meetings
- ensure awareness of special promotions, daily activities, arriving VIPs, group/conferences in house, special requests, and scheduled shuttles
- practice safe work habits and ensure safe work practices to avoid injury to self and others
- ensure all privacy and security protocols are followed as well as departmental and company procedures
- answer inquiries pertaining to hotel policies, services, registration, shopping, dining, entertainment, and travel directions
- maintain an extensive knowledge of the hotel, its services, and facilities
- along with a general knowledge of the city where the hotel is located and its attractions
- maintain lobby cleanliness and organization
- assist in booking reservations
- assist with handling mail, packages, facsimiles, and guest items
- all other duties assigned by manager or supervisor
