The position involves accurate registration, posting of charges, and handling of check-out procedures. Front Desk Agents are responsible for addressing guest questions and concerns professionally, adhering strictly to Brand Standards. This role requires the candidate to assume the position of Person in Charge (PIC) during the overnight shift, handling critical tasks to maintain smooth operations. The job demands a warm and genuine spirit of hospitality, efficiency in processing registrations and payments, and the ability to coordinate services across various hotel departments and external businesses seamlessly. \n\nAs a representative of Baywood Hotels, the Front Desk Agent consistently models the behavior of a 'Baywood Ambassador,' maintaining a professional image with impeccable grooming, courteous communication, and positive body language. They engage guests and coworkers warmly, actively listen to guest needs, provide timely responses, and foster a collaborative team environment. Beyond typical reception duties, the role involves monitoring sundry shop inventory, managing cash and credit transactions, operating the PBX switchboard, and ensuring adherence to safety and security protocols. The agent also plays an essential part in handling guest complaints, coordinating emergency procedures, and contributing to maintaining a safe and welcoming atmosphere within the hotel. \n\nThis position requires the ability to multi-task, communicate effectively, and remain calm under pressure. Candidates with previous hotel front desk experience are preferred; however, relevant customer service experience and on-the-job training can be equivalent. High school diploma and certifications like TIPS alcohol server training, where applicable, are required. Flexibility to work night shifts and weekends is necessary, along with bilingual skills in Spanish and English depending on the location. Job Duties
- Greet guests with genuine and warm spirit of hospitality
- register (check-in) guests efficiently following Brand standards securing proper payment
- post transactions to guest and master accounts
- review guest account balance ensuring payment is secured
- reconcile discrepancies between PMS, housekeeping reports and registration cards
- review arrivals and block special requests
- process required reports including down time and high balance reports
- monitor and restock sundry shop ensuring payment for consumed items and removal of expired products
- handle guest requests and concerns courteously and efficiently
- coordinate delivery of guest services by other hotel departments and outside businesses
- process incoming and outgoing reservations and cancellations timely and efficiently
- prepare guest amenities and ensure timely delivery
- handle in-house guest reservation requests such as extensions, late check-outs, and rebooking
- handle check-out procedures swiftly and accurately assisting guests on departure
- maximize room revenue and occupancy through suggestive selling and managing walk-in guests
- store guest luggage securely
- present accurate information regarding hotel marketing programs, local area, and functions
- handle departmental cash drawer and all financial transactions following credit and cash handling guidelines
- maintain communication sources such as log books, franchise directories and electronic communications
- operate PBX switchboard handling calls, wake-up calls, and guest paging maintaining privacy and security
- operate franchise terminal and perform maintenance tasks
- maintain credit control procedures
- ensure guest safety and privacy by following established protocols
- issue safety deposit boxes and monitor key box transactions
- complete brand-specific logs and follow escalation procedures for guest complaints
- adhere to staff communication via meetings, logs, and bulletin boards
- coordinate emergency procedures including evacuations
- assist with guest relocations and support other departments during slow periods
- audit all accounts for balance accuracy including tray, city ledger, reservation deposits and credit card accounts
- transfer charges and deposits to master accounts
- close monthly accounts
- prepare daily revenue summary reports
- post room and tax revenues including No-Shows
- ensure accurate distribution of revenues, adjustments, taxes and gratuities from POS system
- change system date
- follow all company policies and procedures as outlined in Policy Manual
- take responsibility for Life Safety Procedures and equipment
- participate in Manager on Duty schedule at selected properties
- perform additional duties as assigned by management
