Job Description

The Family Ministries department at New Life Church plays a crucial role in nurturing families by providing resources, events, and support that align with the church’s mission and vision. The department works closely with various teams, including Guest Relations, to ensure a seamless and hospitable experience for all attendees, particularly parents and children.

The position of Parent Ministry and Guest Relations Administrative Assistant is a part-time hourly role within the Family Ministries department, reporting directly to the Guest Relations and Parent Ministry Pastor. This role is primarily scheduled from Sunday to Thursday, working 28 hours per week. It is designed for an individual who is passionate about supporting ministry teams and enhancing the experience of guests, parents, and volunteers through excellent administrative support and event coordination. The successful candidate will serve as a key contributor in organizing Parent Ministry events such as Parent Orientation, Spiritual Parenting classes, and Child Dedications while also managing essential administrative tasks such as scheduling, communication, and volunteer coordination.

As an integral team member, this administrative assistant is responsible for collaborating with multiple departments, including Creative and Operations teams, to oversee event logistics, maintain organized ministry environments, and facilitate volunteer involvement. The role also extends to supporting Sunday hospitality efforts by managing the Guest Relations setup in various church environments like the lobby, cafe, and info desk. Additionally, the assistant contributes to the Family Ministries social media presence by assisting with content curation and execution, helping to keep the church community informed and engaged.

Candidates for this role should demonstrate a strong servant's heart, spiritual maturity, and the ability to thrive in a dynamic setting with changing priorities. The position requires attention to detail, excellent communication skills, and the capability to handle multiple responsibilities independently while maintaining confidentiality. This role also involves intermittent physical activity such as lifting supplies, setting up rooms, and other tasks that require being on one's feet and moving items occasionally.

The ideal applicant will have a high school diploma with preferred experience in administrative assistance and event coordination. Familiarity with software tools like Church Community Builder (CCB) for volunteer management and general office equipment is also beneficial. Job Duties

  • Plan and execute all Parent Ministry gatherings including Parent Orientation Spiritual Parenting classes and Child Dedications
  • Oversee event logistics such as room setup teardown catering supplies and coordination with Creative and Operations teams for signage and materials
  • Maintain organized systems for files volunteer schedules and ministry spaces such as Parenting Room 246 and Family Connect area
  • Support key Family Ministries events including Family Nights Kids Camp and Desperation
  • Champion a high level of hospitality and attention to detail ensuring every parent experience reflects the heart and mission of New Life Church
  • Provide administrative support to Guest Relations and Family Ministries through communication scheduling and project coordination
  • Assist with monthly credit card reconciliation and expense tracking for Parent Ministry
  • Manage CCB processes including volunteer queues scheduling and conducting interviews and sending birthday cards for Parent Ministry and Guest Relations
  • Support volunteer appreciation efforts and maintain updated ministry materials and drop cards
  • Assist in managing and developing Family Ministries social media including content curation and execution
  • Participate in regular staff and departmental meetings to stay aligned with church wide vision and goals
  • Collaborate across teams to cultivate a Christ centered culture marked by warmth service and excellence
  • Carry out additional responsibilities as assigned by the Guest Relations and Parent Ministry Pastor
  • Support the Guest Relations Coordinator in preparing Sunday hospitality environments including the lobby cafe info desk signage and Connect Central
  • Maintain inventory and restock supplies for cafe info desk and lobby spaces as needed
  • Coordinate Sunday morning donut pickup when required
  • Assist with the info desk for First Wednesday services as needed
  • Step into Guest Relations roles as needed to ensure seamless coverage
  • Support New Life Next gatherings through setup food coordination guest communication and follow up tracking in CCB
