Job Description

The role of Mission Services Coordinator is integral to the success of Make-A-Wish Michigan’s mission. Reporting directly to the Senior Director of Mission Services and classified as an hourly, non-exempt position, this role is designed for a highly organized and detail-oriented professional who thrives on coordinating multiple operational aspects to enhance the wish delivery process. The Mission Services Coordinator is responsible for providing comprehensive administrative and cross-functional support within the Mission Delivery Team. This includes volunteer onboarding and engagement, logistical support, supply chain coordination, Salesforce data management, and general operational duties. By managing these essential tasks efficiently, the coordinator enables the Mission Delivery Team to concentrate fully on creating impactful and memorable wish experiences for children and their families.

In this role, the coordinator supports volunteer processes such as application processing, onboarding workflows, assignment to wish teams, and maintenance of compliance documentation, including background checks and conflict of interest forms. The position also involves scheduling meetings, preparing materials, managing files, generating reports, and assisting with data tracking to promote operational efficiency. The coordinator plays a critical part in ensuring the smooth distribution of supplies, which involves preparing welcome gifts and packets for families, volunteers, and events. Accurate and timely updates in Salesforce about wish child preferences and related data are essential responsibilities that help maintain personalized and meaningful wish experiences.

Beyond administrative duties, the coordinator supports events and mission moments, including community engagement, hospital events, alumni gatherings, and wish reveals. They coordinate logistics such as ordering supplies, managing in-kind donations, and organizing character appearances during wish experiences. Adherence to national policies and compliance standards is also a key component, ensuring Make-A-Wish Michigan meets all governance and performance benchmarks. Job Requirements

  • High school diploma or equivalent
  • 1-3 years of relevant administrative or coordination experience
  • Proficiency in Microsoft Office
  • Familiarity with Salesforce preferred
  • Strong organizational skills
  • Ability to work independently and as part of a team
  • Excellent communication skills

  • Commitment to reaching eligible children in underreached communities and supporting Diversity, Equity, Inclusion, and Belonging initiatives
  • 1-3 years of relevant experience (administrative, coordinator, or operations support roles preferred)
  • Proficient computer skills in Microsoft Office and database management
  • Familiarity with Salesforce preferred
  • Strong ability to manage multiple priorities, coordinate schedules, and meet deadlines
  • Exceptional written, oral, and interpersonal communication skills

Job Duties

  • Process volunteer applications and support onboarding workflows
  • Assign volunteers to wish teams and track key volunteer documentation
  • Maintain volunteer compliance requirements including background checks and conflict of interest forms
  • Support volunteer engagement and stewardship opportunities
  • Provide administrative support including scheduling meetings, preparing materials, file management, and coordination support
  • Assist with report creation and tracking data and metrics
  • Support cross-functional projects that streamline wish delivery operations and hospital engagement
  • Support the supply and distribution process including welcome gifts, packets, and family materials
  • Prepare packets and materials for outreach meetings and events
  • Assist with tracking inventory, ordering supplies, and maintaining organized materials
  • Update wish child likes and interests in Salesforce and maintain accurate documentation
  • Assist with compiling data and reports to support operational efficiency and tracking
  • Support hospital, community engagement, and alumni events including ordering food and supplies, prepping materials, and coordinating logistics
  • Assist with wish reveals and in-person mission moments as needed
  • Support coordination of characters, in-kind donations, and logistics for mission experiences
  • Support adherence to Make-A-Wish National policies, performance standards, and governing guidelines
