The Boys & Girls Club of San Marcos is a reputable nonprofit organization dedicated to providing a safe, positive, and enriching environment for youth across the San Marcos community. This part-time, non-exempt Membership Clerk position, reporting directly to the Site Director at a local branch, plays a pivotal role in the smooth operation of the facility. The hourly wage for this role is $18.50, reflecting the importance of the duties involved in managing the front desk and membership operations. The Membership Clerk is primarily charged with overseeing daily registration protocols for all members and guests, ensuring compliance with the Club's policies and guidelines. This position demands a detail-oriented and organized individual who is adept at maintaining membership records and handling financial transactions related to membership dues and fees.

Key responsibilities involve managing front desk operations, such as answering phone calls promptly, directing inquiries appropriately, and delivering accurate information about Club services, programs, and schedules. The Clerk facilitates the registration process, issuing membership cards and maintaining up-to-date membership databases through the MyClubHub Membership Tracking System. This system is vital in tracking new memberships, program attendance, and financial data, enabling efficient Club management and reporting.

Additionally, the role requires the Membership Clerk to ensure the safety and supervision of youth members, enforce the Club's rules and policies, and assist in administrative tasks. This includes maintaining a clean and organized reception area, demonstrating reliability in attendance and participation in meetings and training sessions, and supporting the Site Director with various assigned duties. Effective communication skills are essential, as the Clerk must interact courteously and professionally with members, parents, co-workers, and volunteers. Bilingual skills in Spanish are considered a valuable asset, enhancing community engagement and service delivery.

The Membership Clerk also embodies the Club’s commitment to safety by managing member sign-in and sign-out procedures accurately, responding appropriately in emergencies by accessing relevant membership records, and maintaining awareness of safety protocols, including Crisis Management and First Aid. Physical demands of the job include standing or sitting for extended periods, occasional lifting up to 40 pounds, and working outdoors in varying weather conditions.

Job Requirements

  • Must be at least 18 years of age
  • Valid identification
  • High school diploma or GED
  • Work experience with a Boys & Girls Club or similar youth organization
  • Must meet the Instructional Aid requirements in San Marcos Unified School District
  • Ability to organize, supervise, and safely discipline youth members
  • Pass TB test and background check
  • Maintain a high energy level
  • Ability to multi-task
  • Speak clearly and hear normal and unusual sounds
  • Sit or stand for four plus hours per day
  • Frequent stooping, bending, climbing, and walking
  • Lift up to 40 pounds
  • Able to work mostly outdoors in varying weather conditions

Job Qualifications

  • Must be at least 18 years of age and have valid identification
  • Knowledge of basic youth development, the Boys & Girls Club movement, or similar concepts
  • Ability to organize, supervise, and discipline youth members safely
  • High school diploma or GED required
  • Work experience with a Boys & Girls Club or other youth serving organization
  • Must meet the requirements of an Instructional Aid in the San Marcos Unified School District [The options to fulfill this requirement are an associate's degree or higher OR Completion of 48 college units OR a passing score on the CBEST OR a passing score on a basic skills proficiency test with either BGCSM or SMUSD]

Job Duties

  • Answer phone promptly and direct calls or take messages as needed
  • Provide accurate, appropriate, and immediate responses to everyone who enters and calls the front counter, ensuring guest satisfaction
  • Maintain knowledge of and provide detailed descriptions of Club services, programs, facility features and hours of operations
  • Issue and collect membership forms, collect membership dues, and issue membership cards
  • Maintain current membership records for all members
  • Effectively use and work in the MyClubHub (MCH) – Membership Tracking System to enter new memberships

  • Facilitate member sign in/out: Ensure that every member who is attending the program is being scanned in upon arrival and signed out upon departure using their membership card
