The role of Member Engagement and Events Coordinator at California Farm Bureau Federation is a pivotal position within the Member Engagement Department. Job Requirements
- Bachelor's degree in communications, marketing, business administration, event management, hospitality, or a related field preferred
- Minimum of three years of experience in event planning, project coordination, member engagement, marketing, or a related field
- Experience coordinating meetings, conferences, or member events
- Experience working with sponsors, vendors, or partner organizations preferred
- Experience with CRM, association management, or event registration software is preferred

Job Duties
- Coordinate logistics for CAFB Annual Meeting, leadership conferences, committee meetings, trainings, and other member-facing events
- Assist with venue selection through coordination of RFPs, contract administration, and vendor communications
- Oversee event registration systems, attendee communications, and onsite registration operations
- Coordinate meeting logistics including room setups, catering, speakers, entertainment, exhibitors, volunteers, and special event activities
- Maintain event websites and online meeting content to ensure timely and accurate information
- Assist with event budgets by processing invoices, tracking expenses, and reconciling financial records
- Support onsite event execution to ensure a high-quality experience for members, sponsors, exhibitors, and guests
- Develop post-event surveys and assist with evaluating event success through attendance, financial, and satisfaction metrics
- Coordinate sponsor communications throughout the sponsorship lifecycle
- Coordinate sponsor invoicing, registration, recognition, signage, promotional materials, digital promotions, event activations, and other sponsorship benefits
- Ensure sponsorship benefits are fulfilled accurately, on schedule, and in accordance with sponsorship agreements
- Coordinate the collection of sponsor logos, advertisements, promotional materials, and event assets
- Develop sponsorship recap reports demonstrating proof of performance and return on investment
- Serve as the day-to-day contact for sponsors before, during, and after events
- Create, coordinate, and distribute marketing assets that promote California Farm Bureau member benefit partners
- Support marketing campaigns that increase awareness and utilization of member benefits
- Coordinate with benefit partners to collect promotional offers, marketing materials, and campaign assets
- Track and report engagement metrics related to member benefit promotions
- Support Young Farmers & Ranchers programs, leadership initiatives, conferences, and special events
- Coordinate CAFB's trade show and farm show engagement plan, including event schedules, booth logistics, promotional materials, staffing coordination, and post-event follow-up
- Assist with member engagement campaigns and initiatives that increase participation in CAFB programs and events
- Coordinate promotional materials, giveaways, branded merchandise, and event supplies
- Maintain project plans, timelines, and department documentation
- Prepare reports, presentations, and meeting materials
- Collaborate with internal departments, county Farm Bureaus, vendors, and partners to ensure successful project execution
- Other duties as assigned
