The Meetings Experience Manager at the American Cancer Society plays a vital role in supporting its ambitious mission by planning, organizing, and executing impactful meetings across their entire lifecycle—from initial inquiry through to evaluation. This remote position involves collaborating closely with diverse stakeholders including senior leadership, the Office of the CEO, Corporate Affairs, and other teams to ensure that meetings and events are engaging, efficient, and aligned with organizational goals. The portfolio managed includes high-profile events such as Board of Directors meetings, executive leadership forums, and top donor cultivation gatherings. Key responsibilities encompass meeting design, logistics management, budgeting, vendor coordination, and onsite event support, ensuring quality and a people-first experience. The Manager is also responsible for tracking data, collecting feedback, and recommending continuous improvements to optimize meeting outcomes. This role demands strong professional presence and communication skills, particularly when engaging with executive-level stakeholders. Job Requirements
- Bachelor's degree
- 5 to 10 years of experience in meeting and event planning
- valid driver's license
- proficiency in meeting management technologies
- ability to travel up to 25 percent
- ability to work some evenings and weekends
- capability to work remotely with limited supervision
Job Qualifications
- Bachelor's degree
- 5 to 10 years of experience in meeting and event planning
- CMP certification preferred
- knowledge of GBTA’s Strategic Meetings Management and EIC’s Accepted Practices Guidelines
- experience with meeting management technologies such as CVENT and Groupize
- strong negotiation and contract administration skills
- professional presence for engaging executive-level stakeholders
- project management experience
- strong financial acumen
- excellent interpersonal and communication skills
- ability to work independently in a remote environment
- proficiency in Microsoft Office
Job Duties
- Qualify new meetings through detailed discovery process to align stakeholder needs with meeting objectives
- serve as lead planner for assigned meetings managing stakeholder collaboration, meeting design, logistics, budgeting and vendor coordination
- provide regular project updates, milestone tracking, risk assessment, and key deliverables to stakeholders
- oversee aspects of meeting services including venue sourcing, site inspections, registration, travel and technology integrations
- provide onsite meeting/event support, monitor and manage vendor performance ensuring quality control
- track data, analyze trends, collect feedback and recommend process improvements
- maintain strong stakeholder relationships, manage inquiries, and contribute to internal communications and knowledge sharing
