The company is currently seeking a highly skilled and motivated Manager of Meetings and Events to join its dynamic team. This role is pivotal in executing and managing group assignments that come through the Group Sales and Events Sales Department. The Manager will take charge of overseeing all contractual agreements related to guest room blocks, event spaces, food and beverage provisions, and special concessions, ensuring timely and efficient coordination to maximize hotel revenue and enhance the guest experience.

This position requires an individual who excels in communication, organization, and problem-solving under pressure, while maintaining a passion for event management and hospitality. The role offers a competitive base salary within the range of $70,300 to $80,000, reflecting the company's commitment to rewarding dedicated and talented professionals.

In this capacity, the Manager will act as the primary liaison between clients and internal departments, ensuring all aspects of event execution meet or exceed expectations. Responsibilities include validating contracts, generating and distributing critical event documentation such as Conference Resumes and Banquet Event Orders (BEOs), and working collaboratively with culinary and other hotel teams to deliver flawless catering and banquet services. Daily client interactions during events emphasize the importance of responsiveness and personal attention, providing continuous support to ensure successful outcomes.

The role also entails forecasting contracted room and food and beverage revenues accurately, participating in site visits, reviewing billing statements for accuracy, and handling cancellation or attrition charges. A strategic mindset is essential for maintaining strong client relationships and maximizing the hotel’s business potential. By establishing and refining standard operating procedures (SOPs) for the conference service department alongside the Director of Meetings and Events, the Manager helps elevate the company’s service standards and operational effectiveness.

Ideal candidates will bring 3-5 years of event management experience, preferably within luxury hotel environments, paired with proficiency in software systems such as Delphi and Opera. A Bachelor’s Degree is preferred but equivalent experience may be considered. Candidates must have an extensive knowledge of food and beverage products, function room capacities, banquet setups, and audiovisual requirements. Competency in billing, advanced skills in Microsoft Office applications, especially Word, Excel, PowerPoint, and Outlook, as well as excellent communication skills in English, are critical to success in this role.

Physical requirements include the ability to sit for extended periods, walk and stand throughout the day, lift light weights occasionally, and perform repetitive motions associated with event management tasks. The position demands high energy, attention to detail, and the ability to work cooperatively within a fast-paced luxury hospitality setting.

Job Requirements

  • High school degree or equivalent education
  • Minimum 3 years of experience in event management
  • Previous work experience in hospitality, preferably luxury hotels
  • Knowledge of hotel event management software such as Delphi and Opera
  • Strong communication and interpersonal skills
  • Ability to manage multiple projects simultaneously
  • Attention to detail and organizational skills
  • Proficiency in Microsoft Office suite
  • Ability to work flexible hours including event days
  • Physical ability to stand, walk, lift up to 15 lbs, and perform repetitive tasks
  • Fluent in English, both spoken and written

Job Qualifications

  • High school degree or equivalent education
  • Bachelor’s degree preferred
  • 3-5 years’ previous experience in event management
  • Luxury hotel experience strongly preferred
  • Experience with Delphi and Opera systems, cloud-based experience preferred
  • Extensive knowledge of food and beverage products, preparation, and presentation
  • Extensive knowledge of meeting room capacities, banquet setup, audiovisual requirements
  • Basic math skills and ability to handle billing accurately
  • Ability to communicate clearly in English, both written and verbal
  • Advanced skills in Word, Excel, PowerPoint, and Outlook

Job Duties

  • Maintain strong client relations and ensure timely communication of conference specifications
  • Monitor and manage room blocks and meeting space utilization according to contracts
  • Review and validate group sales and events contracts and monitor program deadlines
  • Produce and distribute Conference Resumes prior to group arrivals and communicate updates to hotel departments
  • Distribute accurate Banquet Event Orders (BEOs) 14 days before events
  • Collaborate with the Culinary team to execute catering and banquet events
  • Maintain in-person presence and conduct multiple daily client check-ins during events
  • Work with the Director of Meetings and Events to establish best practices and SOPs
  • Accurately forecast contracted rooms and food and beverage revenues within 5% variance
  • Participate in site visits and plan meetings for upcoming events
  • Review billing statements to ensure accuracy and maximize return business
  • Send thank you notes and meeting critiques with every bill
