The Meetings & Catering Coordinator position at Montage International plays a vital role within the Catering Department, providing essential administrative and strategic support to the Director of Meetings & Events and Meetings & Events Sales Managers. This position is integral to the smooth execution and coordination of various events hosted by Montage properties. The role is designed to be both dynamic and interactive, offering opportunities to engage directly with clients while supporting internal teams. Responsibilities include managing small events of ten guests or fewer, handling initial client inquiries, creating contracts, organizing banquet event orders (BEOs), and overseeing event execution. The Meetings & Catering Coordinator is also responsible for assisting with scheduling, client site inspections, tastings, and the distribution of necessary event paperwork. This position requires a collaborative individual who can navigate multiple tasks efficiently and maintain clear communication with clients and team members alike.

Job Requirements

  • High school or equivalent education required
  • minimum 1 year banquet service, events service or sales administrative experience
  • minimum 2-3 years customer service experience in hotel, events or restaurant environment
  • working knowledge of spirits, wine and dining
  • basic math skills
  • ability to communicate clearly in English
  • luxury hotel experience strongly preferred
  • bachelor’s degree
  • Delphi experience
  • advanced user of Word, Excel, PowerPoint and Outlook

Job Qualifications

  • High school or equivalent education required
  • minimum of 1 year of banquet service experience, events service experience or sales administrative experience
  • minimum 2-3 years of customer service experience in a hotel, events or restaurant environment
  • working knowledge of spirits, wine, and dining
  • basic math skills and ability to accurately handle billing
  • clear communication skills including speaking, reading, writing and understanding English
  • luxury hotel experience strongly preferred
  • bachelor’s degree
  • Delphi experience
  • advanced skills in Word, Excel, PowerPoint, and Outlook with daily use

Job Duties

  • Create a welcoming environment for guests and associates
  • receive initial inquiries and provide preliminary catering information
  • forward qualified leads to catering manager for appointments or follow-up
  • answer questions and concerns and follow through to resolution or refer to appropriate manager
  • take full responsibility for arranging events with 10 guests and under including creating contracts and deposit schedules
  • organize banquet event orders and oversee the execution of events
  • be the main contact for event hosts regarding planning questions
  • assist managers in scheduling appointments, meetings and coordinating rentals and specialty items for events
  • conduct client site inspections, tastings, and potential client entertainment
  • create and assist with all internal booking reports
  • produce and distribute contracts, BEOs, resumes and related catering paperwork, menus and correspondence
