The role of Meeting Planner, Conventions & Internal Events, within BCD M&E's Life Sciences Division, presents an exciting opportunity for a dynamic individual to take the lead in planning and executing a wide array of internal meetings and conventions. This position is stakeholder-facing and requires coordination across multiple event types including Society Engagements, Internal Company Meetings, National Sales Meetings, Training Meetings, Advisory Board Meetings, Tradeshows, and Conventions. The planner will be responsible for managing the entire lifecycle of each event—from initial registration and menu planning to onsite execution and final budget reconciliation. Success in this role demands meticulous attention to detail, strong organizational skills, and the capacity to manage multiple priorities while ensuring compliance with relevant guidelines.

Key responsibilities include acting as the primary contact for stakeholders, negotiating vendor contracts, managing budgets creatively yet within compliance parameters, coordinating logistics such as housing, transportation, and AV/production needs, and creating clear communications and registration websites for attendees. The ideal candidate is adept at navigating complex compliance regulations, including meal caps and regulatory reporting requirements relevant to the pharmaceutical/life sciences sector. With a requirement to travel regularly—estimated between 25% to 50%—this role offers hybrid work flexibility with three days a week in the Raynham, Massachusetts office.

Compensation for this position ranges from $60,000 to $75,000 annually, adjusted based on skills, experience, location, and project budget. Job Requirements

  • Bachelor’s degree or equivalent
  • Minimum 3 years experience in lead planner role in pharmaceutical or life sciences
  • Proficiency with Cvent, Excel, and Microsoft Office
  • Strong communication and stakeholder management skills
  • Ability to manage multiple priorities and work collaboratively
  • Knowledge of industry compliance regulations
  • Ability to travel 25% to 50%
  • Willingness to work hybrid in Raynham, Massachusetts office 3 days a week

Job Qualifications

  • Bachelor’s degree or equivalent experience
  • Minimum of 3 years in a lead planner role within the pharmaceutical or life sciences industry
  • Proficiency in Cvent, Excel, and Microsoft Office Suite
  • Strong communication skills with the ability to manage stakeholders confidently
  • Exceptional problem-solving and adaptability skills
  • Experience managing compliance regulations such as Meal Caps, State and Country Laws, and Transfer of Value reporting

Job Duties

  • Plan and execute all logistics relating to conventions and internal events including National Sales Meetings, Training Meetings, Advisory Board Meetings, Society Engagements, Tradeshows, and Conventions
  • Act as the main point of contact for stakeholders and ensure milestones are clearly communicated and met
  • Communicate effectively with exhibit design companies and vendor partners including housing bureaus, badge ordering, booth set design, AV/Production needs, ground transportation, and signage
  • Build, monitor, and maintain accurate event budgets while ensuring compliance and negotiating vendor contracts
  • Create clear attendee communications and registration websites alongside well-timed communication plans
  • Ensure all participants have a positive and memorable experience from invitation through onsite execution and departure
  • Travel regularly to support event planning and execution
