The Meeting Planner for Conventions and Internal Events will join the vibrant Life Sciences Division within BCD M&E. This crucial role involves being the primary convention planning lead, specializing in Society Engagements, Internal Company Meetings, and National Sales Meetings. The planner collaborates extensively with stakeholders and vendors to ensure seamless, compliant execution of events ranging from exhibit sponsorship, registration, menu planning, to on-site event management and budget reconciliation. This position demands exceptional organizational skills and the ability to manage multiple priorities effectively. The planner serves as the main point of contact throughout every stage of event delivery, ensuring all milestones are communicated and met diligently. The role also involves maintaining detailed event budgets, negotiating vendor contracts, and developing innovative cost-saving strategies while remaining compliant with all regulations. The planner is responsible for creating clear attendee communications and registration platforms, ensuring positive and memorable experiences from invitation to departure. This hybrid role is based in Raynham, Massachusetts, offering a blend of remote and in-office work alongside travel requirements of 25% to 50%. The compensation range for this position is $60,000 to $75,000, depending on skills, qualifications, experience, location, and project budget. This role is ideal for candidates with more than three years of lead planner experience within the Pharmaceutical or Life Sciences industry. Job Requirements
- Education equivalent to a bachelor’s degree preferred
- Minimum 3 years of relevant experience in event planning especially in life sciences or pharmaceutical sectors
- Proficient in event management software such as Cvent and Microsoft Office
- Outstanding organizational and communication skills
- Ability to manage budgets and vendor negotiations
- Flexibility to travel 25 to 50 percent regularly
- Experience in compliance management including understanding of meal caps and special regulatory requirements
- Ability to work in a hybrid setup with 3 days a week in Raynham, Massachusetts office
Job Qualifications
- Bachelor's degree preferred but not required
- Minimum 3 years in a lead planner role preferably within the Pharmaceutical or Life Sciences industry
- Proficiency in Cvent, Excel, and Microsoft Office Suite
- Strong communication and stakeholder management skills
- Expertise in managing complex compliance requirements including meal caps, state and country laws, and transfer of value reporting
- Exceptional problem-solving capabilities and ability to manage multiple priorities effectively
- Demonstrated ability to build professional relationships with stakeholders, coworkers, and vendors
Job Duties
- Plan and execute all logistics relating to conventions and internal events including national sales meetings, training meetings, advisory board meetings, society engagements, tradeshows, and conventions
- Act as the main point of contact for stakeholders and ensure all milestones are clearly communicated and met
- Communicate effectively with exhibit design companies and vendor partners managing housing bureaus, badges, booth design, AV/production needs, transportation, and signage
- Build, monitor, and maintain concise and accurate event budgets while identifying creative cost-saving opportunities and ensuring compliance
- Negotiate vendor contracts and build long-lasting partnerships
- Create clear and simple attendee communications and registration websites with a well-timed communication plan
- Ensure a positive and memorable experience for all stakeholders, attendees, and staff from invitation to departure
- Travel regularly as required for the role
