The Meetings & Conference Room Planner at Allergan Aesthetics plays a vital role in ensuring the smooth and successful execution of a high volume of onsite meetings and events. This role demands exceptional organizational skills and the ability to manage multiple priorities simultaneously while fostering strong relationships with key stakeholders across the organization. The Planner acts as the primary point of contact for internal clients, guiding them through the entire event planning process from conception to completion. Responsibilities include coordinating logistics such as conference calendars, catering, audiovisual setup, transportation, security, room layouts, and accommodations. The Planner also collaborates with vendors to ensure high-quality service delivery and maintains compliance with company policies. Creativity, effective negotiation skills, and meticulous attention to detail are essential in this role to produce impactful meetings that support Allergan Aesthetics’ strategic goals. The Planner must be adaptable, able to work onsite full-time in Austin, Texas, and willing to travel occasionally to support large national meetings. Working under pressure with a dynamic team, the Planner contributes significantly to the overall success and positive reputation of Allergan Aesthetics' internal events and meetings.

Job Requirements

  • Bachelor’s degree or equivalent experience in event planning, hospitality management, or a related field
  • 5+ years of meeting planning experience
  • Proven experience in conference or meeting planning for internal customers
  • Excellent organizational, communication, and multitasking skills
  • Ability to work under pressure and adapt to changing circumstances
  • Strong problem-solving skills and attention to detail
  • Flexibility to work evenings and weekends as needed during peak event seasons
  • Up to 20% travel
  • CMP preferred

Job Qualifications

Job Duties

  • Collaborate with internal clients to understand meeting objectives, requirements, and logistics
  • Manage all aspects of onsite meeting planning, including conference calendar, catering, AV setup, transportation, security, building access, room layouts with facilities, evening events, and accommodation if required
  • Coordinate with vendors and suppliers to ensure quality service delivery
  • Organize campus tours and ensure awareness with department leaders and teams, fostering organizational awareness and engagement
  • Develop detailed event timelines, checklists, and communication plans
  • Select, evaluate, and manage suppliers, maintain a repository to ensure compliance with company policies and requirements
  • Lead onsite event execution, troubleshooting issues as they arise
