The Meeting Planner role at BCD Meetings & Events involves being the central point of contact within the healthcare client’s event team. The Meeting Planner represents the client’s brand in interactions with vendor partners and key stakeholders, managing the entire lifecycle of multiple healthcare professional (HCP) and non-HCP client programs at various conferences and conventions. This position requires a consultative approach to planning, advising clients and coordinating with coworkers and service providers to set clear objectives and develop efficient meetings and events tailored to specific requirements. Responsibilities include managing planning timelines, negotiating contracts, overseeing site selection and venue arrangements including hotels and off-site locations, coordinating food and beverage, audiovisual needs, special decor, entertainment, transportation, and accommodation logistics.

The Meeting Planner is responsible for presenting cost-effective ideas to enhance program outcomes, ensuring all vendor contracts comply with client safety and business standards, and maintaining strong vendor relationships across the event team. They also monitor accounting and financial processes, oversee budgets, ensure vendor payments and invoice accuracy, and uphold client compliance policies. Leading and training on-site staff, managing safety plans for events, and contributing to the development of standardized operational procedures are essential components of the role.

The ideal candidate excels in troubleshooting, providing guidance, multitasking, adapting to dynamic work conditions, and delivering exceptional customer service to ensure a positive attendee experience from invitations through program completion. Familiarity with tools such as Cvent and Microsoft Office Suite is important. The role is virtual but requires up to 50% travel, offering a competitive salary range of $60,000 to $75,000 based on qualifications and experience. Job Requirements

  • High school degree or higher
  • 3-5 years of experience in event or meeting planning
  • Experience managing healthcare client programs and compliance
  • Familiarity with Cvent and Microsoft Office Suite
  • Ability to travel up to 50 percent
  • Strong organizational and communication skills
  • Capability to work independently in a virtual environment

Job Duties

  • Consult with clients, co-workers, and service providers to determine objectives, requirements, and make recommendations for meetings and events
  • Update and maintain a planning timeline, ensuring milestones are met
  • Plan and execute meetings or events including site selection, vendor partner negotiations, food and beverage coordination, audiovisual equipment, meeting space layout, special decor, entertainment, hotel accommodations, ground transportation, off-site dinners, teambuilding activities, and giveaways
  • Develop, present, and execute creative and cost-effective program enhancement ideas
  • Negotiate all vendor contracts in partnership with the client’s purchasing team and sourcing partner
  • Ensure accounting processes and financial deadlines are met
  • Provide leadership and training to on-site staff as needed
  • Establish safety plans for programs in cooperation with security teams
  • Manage approved program budgets and review vendor invoices for accuracy
  • Follow client compliance policies
