This job opening is for an Event Planner/Admin Coordinator at a reputable company located in Maple Grove, MN 55369. The position is designed as a hybrid role, allowing the candidate to work both remotely and onsite, providing a flexible working environment. The company operates within the medical device or healthcare industry, focusing on supporting educational programs and customer-facing Medical Education initiatives particularly related to Coronary Therapies. The role is slated for an initial duration of 3 or more months with the possibility of extension based on ongoing needs and performance. The role of Event Planner/Admin Coordinator is critical to the coordination and operational execution of various educational programs and tools that support Medical Education regarding Coronary Therapies customers. The position entails planning and delivering customer training or research programs through diverse formats such as in-person sessions, virtual webinars, observations, live broadcasts, and local dinner events. Effective communication with customers is paramount to coordinate event logistics including hotel arrangements, transportation, and scheduling to provide an exceptional experience for all participants and stakeholders.
This role demands meticulous management of participant registration, including responsibilities such as invitations, travel documentation, and hotel accommodations, ensuring seamless organization and flow of events. Strong emphasis is placed on maintaining compliance through completing and tracking all necessary documentation such as contract requests, service agreements, event requests, spend reporting related to Healthcare Professionals (HCP), payments to HCPs, vendor payments, and fulfilling internal organizational requirements.
Candidates will also be expected to demonstrate technical aptitude and possess fundamental knowledge of interventional cardiology products and systems to effectively support hands-on customer training and education. Acquisition, maintenance, and transportation of equipment for use during these educational programs and national symposia are essential elements of the role. Onsite attendance at events is necessary to oversee logistics related to hands-on equipment, participant management, lodging arrangements, faculty coordination, and agenda adherence, ensuring that any issues are promptly identified and resolved.

Job Requirements
- Bachelor’s degree required
- 4+ years of experience in event management and/or conducting training programs
- strong project management and organization skills including expense management and reporting
- must be able to work autonomously on multiple projects at one time
- experience with training in the medical device industry or other highly regulated environments
- technical aptitude and ability to think strategically with appetite for innovation and continuous learning
- ability to travel up to 20%

Job Duties
- Assist in the coordination and operational support of educational programs and tools to support customer-facing Medical Education for Coronary Therapies customers
- coordinate the planning and delivery of Medical Education customer training or research programs including in-person, virtual, observation, live broadcast, and local dinner programs
- communicate with customers to coordinate logistics for their participation in the event such as hotel, transportation, and schedule
- manage all aspects of registration including invitations, travel, and hotel accommodations
- complete, track, and archive documentation for compliance including contract requests, service requests, event requests, HCP spend reporting, HCP payments, vendor payments, and internal requirements
- possess technical aptitude and basic knowledge of interventional cardiology products and systems
- acquire, maintain, and transport equipment used for hands-on customer training and education is present and functional at Med Ed programs and national symposia
- attend events to ensure that details associated with hands-on equipment, participants, lodging, faculty, and agendas are attended to and problems are corrected
- work closely with Medical Education Strategists and Medical/Scientific Affairs to develop and execute programs and ensure compliance in training processes
