The employment type for this role is contract-based, with a 6-month duration and possibilities for extension or permanent placement. This role, Meeting & Congress Planner Contractor, is pivotal in delivering world-class congress planning and management services. The planner will work closely with cross-functional teams, external vendors, and industry associations to ensure flawless event logistics, sponsorship management, and exhibit coordination. Acting as an essential operational partner to the Meetings & Congresses team, the successful candidate will take ownership of managing congress timelines, budgets, and stakeholder communications in a highly matrixed environment. This role demands exceptional organizational skills, project management expertise, and the ability to negotiate complex cross-functional relationships in a fast-paced setting.

Tasks include supporting external congress-related activities such as sponsorship deliverables and onsite logistics, conducting site visits to optimize attendee experiences, and maintaining compliance with corporate and regulatory policies. The planner will also be responsible for budget tracking, vendor management, and identifying continuous process improvements using industry best practices. Through efficient coordination of multiple concurrent programs, the planner ensures alignment with business goals and regulatory compliance. Reporting directly to the Head of BNA Meetings & Congresses, this position is ideal for a detail-oriented professional who thrives in a high-energy environment and has a passion for creating seamless operational experiences in the pharmaceutical and healthcare industry.

Job Requirements

  • Bachelors degree
  • 5-7 years experience planning and executing corporate meetings, events, or medical congresses
  • Strong hands-on congress planning and external meeting operations experience
  • Proven project management skills managing multiple complex programs
  • Experience coordinating cross-functional stakeholders
  • Strong written and verbal communication skills
  • Strong organizational skills
  • Experience managing budgets and vendor relationships
  • Ability to work independently and collaboratively in fast-paced environments
  • Ability to travel domestically up to 25 percent
