The role of Meeting & Events Specialist at CBRE is vital in bringing people together through exceptional meetings and events that support the company’s mission. This role uniquely combines logistics, hospitality, and strategic collaboration to execute thoughtfully planned and inclusive events. Positioned within the Workplace Experience team, this role works closely with cross-functional partners to ensure each event is on-brand and flawlessly executed behind the scenes. This includes the planning, coordination, and execution of both internal and external meetings, workshops, and events. A key responsibility is managing end-to-end event logistics—scheduling, catering, audio/visual setup, room arrangement, and on-site event management.
The Meeting & Events Specialist will produce detailed project plans, develop timelines, create run-of-show documents, and prepare post-event recaps. On-site coordination is also a major part of the job including room bookings, setup and teardown logistics, nametag preparation, and conducting room checks ahead of events. Additionally, this role supports executive-level meetings, high-touch events, and VIP experiences by greeting VIPs and ensuring guests' accessibility needs are met to promote inclusive participation. Collaboration with the Workplace Experience team is essential for aligning event priorities and reviewing deliverables. The specialist also partners with IT/AV teams and assists with front desk experiences for large events, escorting external guests, and leading office tours as necessary.
Operational tasks such as overseeing pre-event planning meetings, responding to client inquiries, managing vendor deliveries, and maintaining an inventory of event supplies are frequently carried out. Supporting weekly programming, creating signage and guest badges, and drafting sample floor plans for event spaces further enrich the role. The Meeting & Events Specialist contributes to process improvement initiatives by adhering to standardized procedures and identifying opportunities to elevate event quality and scale programs efficiently. With expectations of calmness under pressure, strong problem-solving, and high attention to detail paired with big-picture thinking, this role is well-suited to someone with over four years of experience in event planning or workplace operations.
This position requires flexibility to work early mornings, evenings, and occasional extended hours as business demands. Experience with tools such as Avery printing, Google Workspace, registration platforms, and familiarity with AI applications in event operations are advantageous. Job Duties
- plan coordinate and execute internal and external meetings workshops and events
- manage end-to-end event logistics including scheduling catering a/v room setup and on-site execution
- produce detailed project plans timelines run-of-show documents and post-event recaps
- coordinate and execute on-site events including room booking setup teardown nametags and other logistics
- conduct room checks ahead of events and deploy support staff as needed
- support high-touch events executive-level meetings and vip experiences
- receive and greet vips and large external meeting or event attendees
- assist guests with accessibility needs and ensure events are inclusive and accessible
- work closely with the workplace experience team on event priorities planning workflow coordination and execution across stakeholders
- review and approve event plans timelines and deliverables in partnership with key stakeholders
- partner with the workplace experience team and ebps on event execution and diy event requests
- liaise with it/av teams as requested by the workplace events team
- coordinate front desk experiences for large external events
- assist with escorting large groups of external attendees from the lobby to event spaces

- oversee pre-event planning meetings with clients and stakeholders troubleshoot issues as they arise
- respond to common inquiries from clients coworkers and managers
- receive track and distribute vendor deliveries including catering rentals florals alcohol printed signage and supplies
- maintain event storage and event furniture inventory
