The role of the Meeting & Events Senior Planner at CBRE is pivotal in ensuring successful event execution and seamless client experiences. This position serves as the primary point of contact for clients and the main communicator of event details to the meetings and events operations team. Situated one block from Hoboken Station, this onsite role requires a professional capable of guiding event clients throughout the entire planning process. Responsibilities encompass managing all aspects such as furniture and equipment arrangements, audio-visual setups, food and beverage services, transportation logistics, and other attendee services. The planner oversees a complex master calendar, coordinating with various internal teams and external vendors to keep all stakeholders informed and aligned with event specifics.

The Meeting & Events Senior Planner is responsible for the entire event lifecycle—from pre-event planning and client greetings to post-event reporting and reconciliation. This role requires proactive problem-solving, meticulous organization, and the ability to communicate effectively with a wide range of parties including clients, vendors, and internal staff. The planner manages multiple large-scale engagements concurrently, ensuring that every event adheres to building safety and security standards. Additionally, the planner supports junior team members, contributes to budget management including invoice processing, and continuously seeks improvements to enhance event delivery and cost efficiency.

Ideal candidates possess strong relationship-building skills, the ability to analyze complex documents, and proficiency in Microsoft Office and other technical platforms. Job Requirements

Job Duties

  • Serve as primary point of contact for high profile and large engagements
  • Develop and communicate complex event plans to ensure flawless execution
  • Manage complex master meeting and events calendar
  • Coordinate event schedules with partners and service providers
  • Conduct pre-event planning and greet event hosts
  • Introduce service delivery teams to clients and ensure event details are understood
  • Manage vendor sourcing and recommendations for catering, decor, entertainment, and giveaways
  • Support event communication and marketing plans
  • Solve issues that arise during events
  • Welcome guests and direct event set-up
  • Organize vendors and support attendee and speaker requests
  • Manage event tear-down
  • Oversee events as projects from planning through execution
  • Manage event planning timelines and ensure deadlines are met
  • Troubleshoot issues creatively
  • Ensure effective handoff to service delivery team
  • Communicate with stakeholders and management
  • Build and maintain professional relationships with internal and external clients
  • Participate or lead planning calls
  • Ensure compliance with building safety and security regulations
  • Create and distribute banquet event orders including timelines and floorplans
  • Manage on-site logistics including vendor insurance verification, load in, and setup
  • Act as point of escalation during events
  • Capture post-event reporting and suggest improvements
  • Provide informal guidance to junior team members
  • Support budget creation and adherence
  • Request and review invoices timely
  • Perform other duties as assigned
