The Meeting & Events Planner role at CBRE is an integral position within the Workplace Experience function. This role is responsible for managing employees who deliver exceptional workplace services such as concierge, reception, meeting and event management, and other administrative office duties. By overseeing the daily activities of the workplace experience team, the Meeting & Events Planner ensures that clients and visitors receive world-class customer service in a designated building.
Key responsibilities include coordinating team schedules and tasks, mentoring and coaching staff to enhance performance, building trusted client relationships, and negotiating to balance conflicting priorities. The planner will also spearhead process improvement initiatives to boost efficiency and support the team in adapting technological advancements and training needs. Vendor management is a critical part of this role, which involves negotiating contracts, ensuring vendor compliance and insurance, and supervising programs conducted by third-party providers such as food delivery, event organization, transportation, and mail distribution.
The Meeting & Events Planner must embody CBRE’s RISE values by leading through example and influencing collaborative agreements among stakeholders. The role demands a problem-solving mindset to tackle day-to-day challenges and complex issues using both existing and innovative systems. Job Qualifications
- Bachelor's degree preferred with 3-5 years of relevant experience
- Combination of experience and education will be considered in lieu of a degree
- Experience in staffing, selection, training, development, coaching, mentoring, measuring, appraising, and rewarding performance and retention preferred
- Ability to guide the exchange of sensitive, complicated, and difficult information
- Ability to convey performance expectations and handle problems
- Leadership skills to motivate team impact on quality, efficiency, and effectiveness of the job discipline and department
- In-depth knowledge of Microsoft Office products including Word, Excel, and Outlook
- Extensive organizational skills with a strong inquisitive mindset
Job Duties
- Coordinate and manage the team’s daily activities
- Establish work schedules, assign tasks, and cross-train staff
- Set and track staff and department deadlines
- Mentor and coach as needed
- Build and maintain a trusted client relationship
- Negotiate with clients, partners, and associates to resolve conflicting priorities
- Ensure support provided by the team is efficient and consistent
- Suggest process improvement efforts on a regular basis
- Assist with developing strategic solutions
- Assess technological and training needs for Workplace Experience teams and clients
- Always follow safety standards with employees, clients, and vendors
- Develop vendor partnerships with the intention of cost saving efforts
- Manage negotiations for contract services
- Confirm that all vendors have current proof of insurance and contractual documentation
- Oversee programs ran by third party vendors including food delivery, organizing events, providing transportation, or mail distribution
- Ensure all invoices for business services billed
- Lead by example and model behaviors that are consistent with CBRE RISE values
- Influence parties of shared interests to reach an agreement
- Apply knowledge of own discipline and how own discipline integrates with others to achieve team and departmental objectives
- Identify, troubleshoot, and resolve day-to-day and moderately complex issues which may or may not be evident in existing systems and processes
