We are currently seeking a highly organized and detail-oriented Meeting and Events Planner to join our dynamic team. This vital role involves planning and executing a wide range of events and meetings designed to engage our clients, staff, and community partners. The Meeting and Events Planner will be responsible for coordinating every detail from the initial concept to the flawless execution, ensuring that each event runs smoothly and meets or exceeds expectations. This role requires a professional with exceptional communication and organizational skills who can manage multiple projects simultaneously, negotiate effectively with vendors, and provide excellent customer service to all attendees.
The position's core responsibilities include developing detailed event budgets and timelines, managing logistics such as venue selection, catering, transportation, and audio-visual requirements, and collaborating with internal teams and external vendors to ensure all aspects of events are well-coordinated. The Meeting and Events Planner will also handle event registrations, coordinate invitations, track expenses, and conduct post-event evaluations to drive continuous improvement. Attention to detail and problem-solving capabilities are essential, as unexpected issues often arise during events and must be resolved quickly and efficiently.

Job Requirements
- Bachelor's degree in event management, hospitality, communications, or a related field
- minimum of 3 years of experience in event planning or coordination

Job Duties
- Plan and coordinate all aspects of events and meetings from initial conception to final execution
- develop event budgets and timelines and ensure events stay within budget and are executed on time
- collaborate with internal teams and external vendors to ensure event details are communicated and executed effectively
- negotiate contracts and rates with vendors to secure the best services and prices
- manage event logistics including venue selection, catering, transportation, and audio-visual needs
- create and distribute event invitations and manage RSVPs
- coordinate event registration and handle attendee inquiries
- develop event agendas and ensure all materials and equipment are prepared and available
- monitor and track event expenses and provide regular updates to management
- conduct post-event evaluations and make recommendations for future improvements
- act as the main point of contact for event attendees and handle any issues or concerns
- stay updated on industry trends and recommend incorporating new ideas and technologies
- maintain professionalism and customer service at all times
- adhere to company policies, procedures, and health and safety regulations
- assist with other administrative tasks and projects as needed
