The Meeting & Events Coordinator role at Flik Hospitality Group is essential in providing comprehensive support within the meetings and conferencing operations. This position requires handling customer inquiries promptly, processing reservations accurately, and acting as the key liaison between clients and the Conference Services Department. The coordinator ensures seamless communication with internal teams such as Food & Beverage, Audio-Visual, Transportation, and Conference Floor to address client needs and maintain efficient event operations. The role emphasizes the importance of timely response to all communications, meeting logistical coordination, and proactive problem-solving to prevent disruptions that could affect the guest experience. Job Qualifications

Job Duties

  • Assist with management of the shared mailbox to include sorting incoming requests and processing reservations as required
  • respond to all e-mails and voicemails within 24 hours
  • set up appropriate auto-replies when out of the office
  • coordinate details for events as assigned
  • utilize effective and timely communication with internal departments such as Food & Beverage, Audio-Visual, Transportation, and Conference Floor to meet customer requests
  • communicate to all relevant internal departments the specific needs of the client, both in advance of and during the course of meetings
  • participate in scheduled team meetings, reviewing upcoming events, discussing relevant logistical matters, and identifying any potential challenges with the operation
  • knowledge of property layout, policies, procedures and all of the capabilities of the center in regards to meeting rooms and technology
  • make decisions in a timely fashion as to not disrupt or negatively impact the guest experience
  • assist with daily placement of room meeting signs
  • perform all job duties in a professional manner and in accordance with company policies
  • greet clients and visitors in the building, offering support as needed
  • abide by the uniform and personal appearance and hand washing policies as outlined in the Associate Handbook
  • follow all safety procedures to ensure a safe working environment
