This role is crucial within the organization as it oversees the entire lifecycle of meetings, conferences, and group housing operations. The successful candidate will manage everything from contract review and room block setup to providing on-site event support and post-event financial reconciliation. They will act as the primary liaison among clients, hotels, and internal teams, ensuring accurate execution of event details and timely completion of operational deadlines. The role demands a high level of organization, technological adeptness, and problem-solving abilities centered around project management skills.

The Meeting & Event Planner / Housing Manager will excel in managing complex logistical challenges by coordinating closely with hotel partners using tools such as Passkey’s Reservation Management System for efficient room block and booking website management. This includes monitoring inventory, resolving block pattern issues, overseeing registration and housing list accuracy, and leading vendor coordination during events. Their proactive approach in anticipating client needs and addressing concerns with professionalism is paramount to ensuring high customer satisfaction.

Furthermore, the individual will maintain excellent communication channels during client meetings, planning calls, and internal updates to support seamless event execution and ensure quality control within the team. The use of multiple software platforms, keen attention to detail, and ability to manage competing priorities without errors will be key performance factors.

Ideal candidates possess prior experience in hotel or group reservations, group sales, convention or event services, along with strong project management skills. Familiarity with Passkey, Reglink/GroupMAX, registration, and property management systems is advantageous. Preferred qualifications include industry certifications such as CMP or CMM and experience with large-scale conferences or multi-day events. This role also demands travel readiness for site visits and on-site event management.

Job Duties

  • act as the primary point of contact for all client-related matters ensuring clear communication and high satisfaction
  • review event history and documentation to ensure accurate contract formulation and operational planning
  • master hotel contract details and understand key elements that impact successful event and housing operations
  • collaborate with hotel partners using Passkey’s Reservation Management System to build and manage room blocks sub-blocks and customized booking websites
  • monitor and manage hotel block inventory to ensure availability through sell-through dates and resolve block pattern challenges
  • oversee registration processes attendee communication and housing list accuracy
  • lead on-site event execution as needed including vendor coordination and real-time problem solving
  • reconcile master accounts at event conclusion ensuring accuracy and completeness
  • partner closely with assigned housing coordinator to deliver a seamless guest experience
  • participate in client meetings planning calls and internal status updates
  • maintain high productivity while delivering exceptional customer service in a fast-paced environment
  • proactively anticipate client needs identify issues early and resolve concerns with professionalism
  • demonstrate accountability by reviewing own work and supporting team quality control
  • support additional projects and responsibilities as assigned
