This full-time Meeting & Event Planner position offers an exceptional career opportunity for individuals with proven event planning expertise seeking to join a dynamic team within the NCAA sports travel sector. The planner will oversee all facets of NCAA meetings and events at the NCAA Conference Center, managing everything from contracting and detailed event logistics to execution and financial reconciliation. The role demands a professional adept in coordinating with diverse internal client groups and external vendors to organize seamless events. Responsibilities include space and room set allocation, catering coordination, audio-visual arrangements, and managing proprietary software systems that handle meeting requests, hotel inventory, and registration. This position requires flexibility, including the ability to work non-traditional hours and occasional travel as needed. Superior interpersonal skills, including negotiation, communication, creative problem-solving, and attention to detail, are fundamental to success in this role. The planner must be a reliable team player able to multitask within a collaborative environment, supporting various departments when necessary to enhance client satisfaction and operational efficiency. Job Requirements

  • Bachelor's degree or equivalent experience
  • Five years previous experience in event or meeting management and hotel event services
  • CMP designation a plus
  • Strong experience in hotel negotiations
  • Flexibility to travel and/or work a flexible schedule including non-traditional hours
  • Proficiency with Microsoft Office, Teams, Smartsheet, Delphi.fdc and Vivien
  • Proven aptitude for technology and software solutions
  • Excellent communication and negotiation skills

Job Qualifications

  • Bachelor's degree or equivalent experience
  • Five years experience in event or meeting management and hotel event services
  • Strong experience in hotel negotiations

  • Strong technological aptitude and analytical skills

Job Duties

  • Manage contracting, planning, executing and reconciliation of NCAA meetings and events
  • Coordinate logistics for internal meetings and client groups
  • Plan event space allocation, room setup, catering and audio-visual needs at hotels
  • Manage proprietary systems including meeting requests, hotel inventory, rooming lists and registration
  • Collaborate with vendors, NCAA staff, in-house catering and audio-visual teams
  • Provide excellent customer service with strong communication, negotiating and problem-solving skills
  • Assist in cross-department tasks and support team initiatives as needed
