The Meeting and Event Planner position at CFC plays a critical role in ensuring the seamless execution of both on-site Board events and select off-site meetings. This role works very closely with the Executive Office and other internal stakeholders to coordinate all logistical aspects of events, ensuring they align with the highest organizational standards. The role requires detailed planning and operational expertise to manage complex events such as the CFC and NCSC Board meetings, as well as other large-scale conferences and training events. This position also involves managing sponsorship logistics, vendor relationships, and event registration systems such as Cvent, contributing to a high-quality experience for attendees and stakeholders.
In this role, the Meeting and Event Planner is responsible for maintaining the events calendar, coordinating speaker materials, managing event-related budgeting and expense reconciliations, and supporting both on-site event execution and post-event activities. The role demands strong organizational skills, customer support capabilities, and the ability to collaborate effectively across departments. Job Requirements
- Bachelor's degree or equivalent work experience
- 3 to 5 years of professional meeting and events experience including large-scale conferences and events
- Occasional travel required typically 2-7 days per trip up to approximately five times per year
- Flexibility to work non-standard hours including early mornings evenings or weekends
- Ability to stand and walk for extended periods during events
- Ability to safely lift and move light to moderate materials such as boxes signage and meeting supplies
Job Qualifications
- Bachelor's degree or equivalent work experience
- 3 to 5 years of professional meeting and event planning experience especially in large-scale conferences and events
- Experience with event management software especially Cvent
- Knowledge of event marketing event catering and vendor management
- Strong customer support skills with the ability to collaborate effectively
- Excellent interpersonal communication and prioritization skills
- Detail-oriented with proactive work approach
Job Duties
- Serve as the primary liaison with the Executive Office to coordinate and support on-site Board events including CFC and NCSC Board meetings
- Manage sponsorship logistics for alliance organization partnerships and non-partnership events including coordination tracking and fulfillment
- Serve as primary back-up for event registration including pre-conference setup on-site support and post-conference reporting
- Build maintain and manage assigned events in the registration management system Cvent
- Collaborate with on-site food service and catering vendors to ensure seamless event execution
- Maintain the events calendar and shared documentation within established file systems
- Reconcile event-related expenses and support budget tracking for Events and Training
- Coordinate speaker materials by collecting presentations preparing shipments and meeting production and delivery deadlines partnering with the Business Center
