The Meeting & Event Coordinator role at Rapport is a critical position that involves close interaction with the Firm's executives and administrative staff to ensure flawless planning and coordination of meetings, conferences, and other events primarily across locations in New York and New Jersey. This role occasionally requires travel to other sites along the East Coast and Central region to support various conferencing needs.
The coordinator will manage essential tasks, such as handling meeting room bookings using reservation systems to maximize space utilization, coordinating services like audiovisual equipment, catering, room setups, signage, and materials distribution. They act as a liaison among clients, vendors, and internal teams before, during, and after events to ensure smooth execution and client satisfaction.
This role also includes responsibilities like producing detailed event resumes, conducting pre- and post-event meetings to align all stakeholders, ensuring accurate billing and approvals for expenses while adhering to client budgets, managing post-event surveys, and driving ongoing improvements based on feedback. Proactive conflict resolution around booking issues, supervision of room setups, greeting hosts, and responding promptly to additional requests play key roles in maintaining the high-quality guest experience Rapport prides itself on delivering.
Physical requirements include the ability to lift 30-50 pounds if necessary, and flexibility to provide short-term coverage for office service staff to ensure continuous support. Creative input to enhance the meeting experience across multiple locations is encouraged, along with conducting walkthroughs to spot and address discrepancies, escalating as appropriate.
Candidates with prior experience in managing corporate or social events, logistical planning, vendor sourcing, and a good understanding of food services and catering will excel in this role. ServSafe certification is preferred but not mandatory. Rapport’s salary range for this position is $60,000 to $75,000 per year, reflecting the value and expertise required.
